Job Description

As a Executive - Operations (Soft Services) at our coworking organization, you will play a crucial role in ensuring the smooth and efficient operation of our facilities. Your primary focus will be on managing and delivering soft services to create a comfortable and productive environment for our clients. With your attention to detail and strong organizational skills, you will contribute to the overall success of our coworking spaces.

Responsibilities:

Client Management:

  • Welcoming and Greeting Clients: As a first point of contact, warmly welcome and greet clients on arrival at the centers to create a positive and friendly environment.
  • Daily Client Meetings: Conduct daily client meetings, connecting with key representatives from each client at the respective center.
  • Scheduled Cabin Checks: Conduct weekly scheduled cabin checks to ensure clients workspace preferences and needs are met.
  • Prompt Client Communication: Respond to client inquiries, concerns, and feedback promptly and professionally, primarily through email communication.
  • Effective Email Communication: Ensure all client communication is documented through email to clients and respective stakeholders.
  • Limited Verbal Communication: Maintain good communication practices by limiting verbal communication for client services.
  • Understand Client Needs: Maintain a strong understanding of clients needs, ensuring their expectations are met.
  • Proactive Client Engagement: Proactively engage with clients to gather feedback, identify areas of improvement, and provide solutions.
  • Client Engagement Activities: Plan and execute client engagement activities, fostering a sense of community and client relationships.
  • Monitor Client Satisfaction Metrics: Monitor client satisfaction metrics and contribute insights for improvement in client support strategies.

Soft Services Management:

Oversee and coordinate the delivery of soft services, including cleaning, maintenance, pantry services, waste management, and other related tasks.

Ensure the highest standards of cleanliness, hygiene, and overall facility appearance are always maintained.

Monitor and manage the performance of vendors and service providers to meet service level agreements and quality standards.

Implement and maintain efficient systems for inventory management, consumables, and supplies.

Client Experience and Support:

Proactively interact with Clients to understand their needs and address any facility-related concerns or requests.

Provide excellent customer service by promptly responding to Client inquiries, resolving issues, and ensuring a positive experience within the coworking space.

Collaborate with the operations team to implement Client-focused initiatives and enhancements to improve overall satisfaction.

Health and Safety Compliance:

Ensure compliance with health and safety regulations, including maintaining proper records, conducting regular safety inspections, and promptly addressing any identified issues.

Implement and maintain emergency response plans, including evacuation procedures, first aid, and crisis management protocols.

Conduct safety training sessions for staff and ensure their adherence to safety guidelines.

Vendor Management:

Source, select, and manage vendors for soft services, ensuring cost-effectiveness, quality, and timely delivery of services.

Review vendor contracts, negotiate terms, and monitor performance to ensure compliance with agreed-upon service levels and contractual obligations.

Conduct periodic vendor performance evaluations and provide feedback for improvement or contract renewal decisions.

Qualifications and Skills:

Proven experience in facility management or related roles, preferably in a coworking or hospitality environment.

Strong knowledge of soft services, including cleaning, maintenance, pantry services, waste management, and related processes.

Excellent organizational and time management skills to handle multiple tasks and prioritize effectively.

Exceptional interpersonal and communication skills to interact with Clients, vendors, and team Clients in a professional and courteous manner.

Attention to detail and a commitment to maintaining high cleanliness and hygiene standards.

Knowledge of health and safety regulations and experience in implementing safety protocols.

Proficiency in using facility management software or tools for managing service requests, inventory, and vendor performance.

Ability to work independently as well as collaboratively within a team.
