As a Executive - Operations (Soft Services) at our coworking organization, you will play a crucial role in ensuring the smooth and efficient operation of our facilities. Your primary focus will be on managing and delivering soft services to create a comfortable and productive environment for our clients. Responsibilities:
Client Management:
Soft Services Management:
Oversee and coordinate the delivery of soft services, including cleaning, maintenance, pantry services, waste management, and other related tasks.
Ensure the highest standards of cleanliness, hygiene, and overall facility appearance are always maintained.
Monitor and manage the performance of vendors and service providers to meet service level agreements and quality standards.
Implement and maintain efficient systems for inventory management, consumables, and supplies.
Client Experience and Support:
Proactively interact with Clients to understand their needs and address any facility-related concerns or requests.
Provide excellent customer service by promptly responding to Client inquiries, resolving issues, and ensuring a positive experience within the coworking space.
Collaborate with the operations team to implement Client-focused initiatives and enhancements to improve overall satisfaction.
Health and Safety Compliance:
Ensure compliance with health and safety regulations, including maintaining proper records, conducting regular safety inspections, and promptly addressing any identified issues.
Implement and maintain emergency response plans, including evacuation procedures, first aid, and crisis management protocols.
Conduct safety training sessions for staff and ensure their adherence to safety guidelines.
Vendor Management:
Source, select, and manage vendors for soft services, ensuring cost-effectiveness, quality, and timely delivery of services.
Review vendor contracts, negotiate terms, and monitor performance to ensure compliance with agreed-upon service levels and contractual obligations.
Conduct periodic vendor performance evaluations and provide feedback for improvement or contract renewal decisions.
Qualifications and Skills:
Proven experience in facility management or related roles, preferably in a coworking or hospitality environment.
Strong knowledge of soft services, including cleaning, maintenance, pantry services, waste management, and related processes.
Excellent organizational and time management skills to handle multiple tasks and prioritize effectively.
Exceptional interpersonal and communication skills to interact with Clients, vendors, and team Clients in a professional and courteous manner.
Attention to detail and a commitment to maintaining high cleanliness and hygiene standards.
Knowledge of health and safety regulations and experience in implementing safety protocols.
Proficiency in using facility management software or tools for managing service requests, inventory, and vendor performance.
Ability to work independently as well as collaboratively within a team.
