Job Title: Operation Executive

Location: Remote Work From Home

Hours: Full-Time (Monday - Saturday)

Job Description:

TwoStaff is hiring for an Operation Executive to join our remote team. We are looking for a motivated, organized individual with excellent English skills, who can thrive in a fast-paced startup environment. The ideal candidate should be detail-oriented, possess strong communication skills, provide administrative support to the Operations Manager, and be able to work directly with the clients.

Experience working in a startup/BPO is preferred, with a demonstrated ability to work independently. This role involves contributing to special projects and initiatives, making it ideal for a self-starter with a positive attitude. Duties and Responsibilities include but are not limited to:

  • Inbox Management:

Organize and maintain the CEO's email inbox, ensuring it is clutter-free and well-structured.

Draft and send emails on behalf of the CEO as directed. Ensure urgent and important emails are brought to the CEO's immediate attention.

  • Administrative Assistance: Handle correspondence, manage calendars, schedule appointments, and coordinate both internal and external meetings, ensuring effective time management and organization.
  • Meeting and Project Coordination: Prepare and document meeting minutes, contribute to the successful execution of operational projects, and ensure timely completion. Manage communications within the team and across departments to maintain alignment.
  • Team Collaboration and Reporting: Work closely with the team to stay updated on daily tasks and progress. Gather and report updates on the day's work completed by employees to the CEO. Foster a collaborative work environment and ensure clear communication within the team.
  • Data Analysis and Reporting: Undertake data entry and analysis, generating reports to support decision-making and operational improvements.
  • Operational Review and Strategy Development: Work with the team to review processes, suggest improvements, and develop strategies for enhancing business efficiency.
  • Others: Handle personal tasks for the CEO, such as making reservations, coordinating personal/company appointments, and managing personal errands.

Technical Requirements:

  • USB Headset with Noise Cancellation feature
  • Working Webcam/In-built camera in laptop
  • Main and backup computer: at least 1.8 GHz processor with at least 4GB RAM
  • Main Internet Service Speed: at least 25 Mbps wired connection
  • Backup Internet Service Speed: at least 10 Mbps

Qualifications and Skills:

  • A Bachelor's degree holder with a Minimum of 2+ years of relevant experience.
  • Familiarity with CRM is preferred
  • Excellent English communication skills, both written and verbal (at least B2 level)
  • Solid organizational and time management skills
  • Exceptional attention to detail and accuracy
  • Capability to work both independently and collaboratively in a team setting
  • Effective multitasking and task prioritization skills
  • Ability to work independently with minimal supervision.
