Job Profile

Overview: We are seeking a diligent and organized individual to join our warehouse operations team as a Warehouse Operations Assistant (Petty Cash & Logistics Coordinator). This role is crucial in ensuring smooth and efficient warehouse operations by managing petty cash, overseeing transportation costs, handling documentation such as LR (Lorry Receipts), e-way bills, and writing forwarding notes. The ideal candidate will possess strong attention to detail, excellent organizational skills, and the ability to multitask effectively.

Responsibilities

  • Petty Cash Management:
  • Maintain petty cash funds and ensure accuracy in recording transactions.
  • Reconcile petty cash balances regularly and prepare reports as required.
  • Process petty cash reimbursements in accordance with company policies.
  • Transportation Cost Tracking:
  • Verify transportation costs against LR (Lorry Receipts) and other relevant documents.
  • Maintain accurate records of transportation expenses and ensure adherence to budgetary constraints.
  • Communicate any discrepancies or issues related to transportation costs to the appropriate stakeholders.
  • Documentation Handling:
  • Prepare and manage e-way bills for transportation as per regulatory requirements.
  • Organize and maintain all documentation related to warehouse operations, including LR, e-way bills, and forwarding notes.
  • Ensure timely submission of required documentation and compliance with legal and internal policies.
  • Forwarding Notes:
  • Prepare forwarding notes accurately, detailing the contents of shipments and relevant logistics information.
  • Coordinate with internal teams and external partners to ensure timely and efficient dispatch of goods.
  • Assist in resolving any logistical issues or delays that may arise during the forwarding process.
  • Inventory Support:
  • Collaborate with inventory management teams to reconcile inventory discrepancies and maintain accurate records.
  • Assist in conducting regular stock checks and audits to ensure inventory accuracy.
  • Communicate any inventory-related concerns or observations to the warehouse management team.
  • Qualifications:
  • Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field.
  • Prior experience in warehouse operations, logistics coordination, or a similar role is preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with inventory management software.
  • Strong analytical skills with the ability to interpret data and generate insights.
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with internal teams and external stakeholders.
  • Detail-oriented mindset with a focus on accuracy and precision in all tasks.
  • Ability to prioritize tasks effectively and work efficiently in a fast-paced environment.
