Job Description:
We are seeking a dynamic and experienced Manager - Visa Processing Officer to establish and lead our Visa Department. The ideal candidate will be a self-motivated individual with extensive knowledge of visa processing procedures for various countries, including Canada, Australia, New Zealand, USA, Europe, and the UK. The Manager will be responsible for independently setting up the visa department, building and managing a team, and ensuring timely and accurate processing of visa applications for our clients.
Duties:
- Independently set up and establish the Visa Department, including designing processes, workflows, and procedures for efficient visa application processing.
- Hire, train, and supervise a team of Visa Processing Officers, providing guidance, support, and mentorship to ensure high performance and adherence to quality standards.
- Timely preparation and submission of visa applications for clients, ensuring compliance with the requirements and regulations of the respective countries.
- Respond to client inquiries and concerns related to various visa categories promptly and professionally via email, chat, phone calls, and in-person meetings.
- Keep clients informed about the visa process status through regular communication via emails, calls, and meetings, ensuring their satisfaction and peace of mind.
- Maintain accurate and up-to-date client records in the CRM system and Excel sheets, ensuring confidentiality and data security.
- Generate weekly and monthly reports on visa processing activities, including application status, turnaround times, and client satisfaction metrics, as per management requirements.
- Stay updated on changes and updates to visa regulations, policies, and procedures for all applicable countries, and ensure team members are trained accordingly.
- Continuously monitor and improve departmental processes and workflows to enhance efficiency, accuracy, and client satisfaction.
- Collaborate with other departments, such as Sales and Customer Service, to ensure seamless coordination and communication throughout the visa application process.
Key Skills:
- In-depth knowledge of all types of visas and legal paperwork requirements for Canada, Australia, New Zealand, USA, Europe, and the UK.
- Excellent verbal and written communication skills in English, with the ability to effectively communicate complex information to clients and team members.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Minimum of 5 years of experience in visa processing or immigration services, with a proven track record of success in a managerial or leadership role.
- Self-motivated and proactive individual with the ability to work independently and take initiative in problem-solving and decision-making.
