Job Description:
We are looking for a dedicated Virtual Assistant to support a UK-based doctor/clinic with tasks detailed below including appointment scheduling, patient follow-ups, data entry, and email management. The ideal candidate will have excellent communication skills, be highly organized, and have experience in medical or healthcare administration. Prior experience as a Virtual Assistant is a plus.
Key Responsibilities:
- Schedule Management:
- Organize and maintain the doctor's calendar, including appointments and meetings.
- Coordinate with patient and book appointment
- Patient Communication:
- Act as the first point of contact for patients, addressing non-medical inquiries.
- handling their queries and other issues regarding rescheduling or canceling of appointments, managing self-pay and insurance
- Provide timely updates and follow-ups to patients regarding their appointments and reports.
- Calling patients regarding change in timing or any appointment or reports related concern
- Administrative Support:
- Manage email correspondence, prioritizing important messages and flagging urgent matters.
- Maintain and update patient records and clinic information on relevant platforms.
- Sending clinic and theatre report daily, raising invoice managing patient's test and reports
- Task Coordination:
- Assist in managing tasks and ensuring timely completion.
- Follow up on action items from meetings and discussions.
- Information Management:
- Ensure that all patient and clinic information is handled with confidentiality and discretion.
- Provide reports and other information to patients as needed.
Qualifications:
- Proven experience as an Assistant or in a similar role, preferably in healthcare or a service-oriented environment.
- Excellent verbal and written communication skills.
- Should be able to understand UK accent
- Strong organizational skills and attention to detail.
- Proficiency in office software and adaptability to various systems.
