About Us:We are a growing digital marketing agency specializing in client projects, training, content creation, and live workshops. We are looking for a dedicated Virtual Assistant to assist with day-to-day operations, client communication, and administrative tasks. The role requires someone proactive, organized, and able to manage multiple responsibilities efficiently.
Key Responsibilities:- Client Communication:
- Act as the primary point of contact for clients during the absence of the agency owner.
- Be present in relevant WhatsApp groups, manage client queries, and escalate when needed.
- Schedule and attend client meetings to take notes and follow up on actions.
- Task and Project Management:
- Assist with task delegation and tracking to ensure deadlines are met.
- Create and update daily task reports for the agency owner and team.
- Identify and report delayed tasks, working with team members to resolve any bottlenecks.
- Administration and Reporting:
- Manage the agency owner's email inbox, responding to inquiries, and organizing important emails.
- Compile weekly and monthly reports on team performance, project progress, and task completion.
- Assist with time tracking and ensure accurate time logs are maintained for projects.
- Content and Workshop Support:
- Assist with content creation for blogs, social media, or client projects as needed.
- Help organize webinars and live workshops by coordinating with participants, managing technical setups, and preparing materials.
- Other Administrative Duties:
- Calendar management: scheduling meetings, setting reminders, and organizing the agency owner's day.
- Support in daily operations, including invoicing, follow-ups, and other administrative tasks.
- Help with documentation, maintaining updated records of client communications, projects, and contracts.
Skills Required:- Strong organizational and time management skills.
- Excellent communication skills (both written and verbal).
- Experience with task management tools (like Asana, Trello, ClickUp).
- Proficiency in email management tools and techniques.
- Ability to handle multiple tasks and prioritize efficiently.
- Basic understanding of digital marketing, content creation, and webinars.
- Familiarity with reporting tools and techniques.
Preferred Qualifications:- Prior experience as a Virtual Assistant or in a similar administrative role.
- Knowledge of Google Workspace (Docs, Sheets, Calendar).
- Familiarity with social media management and content creation tools (e.g., Canva, Hootsuite).
- Experience with client communication and handling feedback professionally.
