Venue Sourcing Specialist. Full time, Andheri East. Mumbai. The Events Sourcing Specialist is responsible for recommending destination and venue options, negotiating with industry suppliers and initial budgeting for assigned client program, meetings and events. The Events Sourcing Specialist is responsible for supporting and consulting clients around site selection, contract negotiation & execution, savings generation & documentation, and properly updating technology information for all meeting and event types, all in accordance with client processes and tools. Financial responsibilities include program benchmarking, cost savings negotiations and tracking, invoice payment and accruals
Events Sourcing Specialist must build and maintain strong client relationships while providing best-in-class meeting and event services. Additionally, may be responsible for executing onsite events management as and when required
Your Responsibilities. The Event Sourcing Specialist is accountable but not limited to :. Knowledge of Strategic Meetings Management (SMM) operations
Source destination, hotel and venue options that meet the goals and objectives of the client
Prepare and distribute Requests for Proposals (RFP); Perform contract and rate negotiations. Build budget according to contracted rates, concessions, and approved agenda
Ensure accuracy of all programme-associated and client facing documents such as venue availability grids and programme budgets & proposals. Negotiate hotel and venue contracts, utilizing and leveraging on Customer and BCD M&E preferred hotel agreements to meet clients expectation of savings on meeting spend
Follow all Standard Operating Procedures (SOP) and keep up to date engagements with individual clients processes and procedures. Manage and maintain day-to-day industry and supplier relationships
Keep abreast of new destination options, well-priced seasonal destination options and hot date offerings
Coordinate site inspections with suppliers, client and program manager. Prepare appropriate site inspection material for clients
You Possess. Minimum of 2-3 years experience in client management preferably within meetings and events industry. Proficiency Microsoft Office applications. Knowledge of accounting and payment process. Events industry and destination knowledge. Good analytical skills, general understanding of accounting, budget and profit and loss statements. Strong organizational and coordination skills. Strong client relationship and customer service. Strong communication skills, including public speaking and client presentations.
