The Vendor Coordinator is responsible for identifying suitable vendors, negotiating with vendors to secure the best prices for products and services, and ensuring that vendors fulfill their contractual obligations.
Job Responsibilities:
Vendor Identification and Selection:
a. Shortlist and analyze new vendors based on company needs and quality standards.
b. Identify suitable vendors that align with the company's strategic goals and project requirements.
c. Register new vendors on board and maintain accurate records of their capabilities and performance.
Vendor Registration and Onboarding:
a. Facilitate the onboarding process for new vendors, ensuring all necessary documentation is complete and compliant with company policies.
b. Ensure that new vendors are fully integrated into the company's procurement system and understand company standards and expectations.
Project Vendor Management:
a. Select and manage the required vendors for specific projects, ensuring they meet project timelines and deliverables.
b. Coordinate with project teams to understand their vendor needs and ensure the right vendors are selected.
Vendor Coordination:
a. Act as the primary point of contact for all vendor-related inquiries and issues.
b. Maintain open and effective communication channels with vendors to ensure smooth collaboration and problem resolution.
Proposal and Documentation Management:
a. Maintain a comprehensive proposal list of all vendors and contractors, ensuring up-to-date information is readily available.
b. Keep detailed records of all vendor proposals, contracts, and performance metrics for easy reference and analysis.
Material Management:
a. Maintain a material library, ensuring all materials are cataloged and available for reference.
b. Manage and oversee the material team, ensuring efficient procurement and utilization of materials.
Vendor Data Management:
a . Maintain an organized list of shortlisted vendors, contractors, and brands, including detailed data on their performance and capabilities.
b . Regularly update vendor information to reflect the most current and accurate data.
Negotiation and Contract Management:
a. Negotiate with vendors to secure the best prices and terms for products and services.
b. Ensure that all vendor contracts are in place and vendors fulfill their contractual obligations.
* Job Requirements:
Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
Proven experience as a Vendor Coordinator or in a similar role.
Strong analytical, problem-solving, and decision-making skills.
Exceptional multitasking abilities and attention to detail.
Excellent negotiation and communication skills.
Proficiency in vendor management software and Microsoft Office Suite.
Ability to work under pressure and meet deadlines.
