Position: US Accountant / QuickBooks Specialist

We are inviting applicants who are looking for a US Accountant / QuickBooks Specialist position at our company, working from our Chennai office.

Job Description: The US Accountant / QuickBooks Specialist will play a key role in ensuring the financial health and operational efficiency of our global operations. This individual will be responsible for overseeing accounting operations, managing profitability analysis, budgeting, handling US payroll processes, and providing critical financial support to different teams within the organization. We are seeking an experienced accountant who is highly organized, proactive, and possesses strong financial management and interpersonal skills to help create a positive and efficient work environment. The ideal candidate must have strong expertise in US accounting practices, QuickBooks, and the willingness to learn legal trust accounting (IOLTA) processes.

Key Responsibilities & Metrics:

As the US Accountant / QuickBooks Specialist, you will be responsible for all aspects of financial management for the company, including financial reporting, budgeting and forecasting, internal controls, and compliance. You will also be responsible for overseeing the company's financial data and compliance by maintaining accurate books on accounts payable and receivable, daily financial entries, and reconciliations. The Key Responsibilities of the US Accountant / QuickBooks Specialist in our company will include:

  • Manage and ensure the accuracy of financial records.
  • Develop and maintain effective accounting systems and policies for financial management and compliance.
  • Lead the finance team in strategic planning, budgeting, and forecasting.
  • Coordinate with external auditors for annual audits.
  • Provide critical financial support to different teams within the organization.
  • Manage profitability analysis and budgeting.
  • Prepare comprehensive profitability reports by analyzing invoices and administrative data.
  • Analyze spending, metrics, agent expenses, and bonus programs, providing comprehensive reports.
  • Provide strategic financial input on issues affecting organizational decision-making.
  • Assist in formulating and maintaining the company's budget and financial plans.
  • Improve the budgeting process by educating department managers on financial issues impacting department budgets.
  • Conduct evaluations for cost-reduction opportunities and strengthen internal controls.
  • Stay updated on financial regulations, particularly for international transactions.
  • Ensure compliance with all applicable taxes and HR regulations in the USA, India, China, Mexico, and other countries.
  • Perform internal audits and ensure compliance with accounting standards and regulations.
  • Set goals for the accounting team, assign tasks, and provide feedback and training.
  • Train and mentor accounting staff, promoting professional growth and skill development in accounting standards such as GAAP and IFRS.
  • Address staff questions on payroll and bonus programs, periodically auditing and monitoring policies.

Essential Job Functions:

  • Maintain accurate US financial records in QuickBooks.
  • Record and categorize daily transactions via invoices, bank statements, etc., applying proper account codes for precise reporting.
  • Reconcile bank statements and other accounts to the general ledger.
  • Oversee ledger reconciliation and manage year-end processes, including tax compliance and staff management.
  • Manage US payroll processing using ADP software, ensuring timely and accurate payroll runs.
  • Ensure compliance with US payroll tax laws and regulations.
  • Address staff questions on payroll and bonus programs.
  • Manage accounts payable and receivable for US operations, including processing vendor invoices and ensuring timely payments.
  • Prepare and manage invoices, send reminders, and pursue collections as needed.
  • Monitor customer account details for non-payments, delayed payments, and other irregularities.
  • Prepare and finalize weekly, monthly, quarterly, and annual financial statements, including cash flow statements, profit and loss statements, and balance sheets.
  • Monitor and manage cash flow for US operations.
  • Learn to process and reconcile US trust accounts (IOLTA) according to state bar requirements.
  • Utilize the firm's tools and software, including Google Workspace, HubSpot CRM, Vonage, Loom, and Clio, for auditing, reporting management, and follow-ups.
  • Employ advanced accounting software and tools for efficient financial management and reporting.
  • Perform other accounting duties as assigned.
  • Ensure efficient management of operational and capital investment funds.

Essential Requirements, Including Tools Needed for Promotion and Success:

  • Continuously update knowledge in accounting standards, both nationally and internationally, including GAAP and IFRS.
  • Attend webinars, seminars, and professional development courses to stay abreast of new developments in the accounting field.
  • Conduct presentations to management and stakeholders, clearly communicating financial information and strategies.
  • Write clear and effective reports and proposals, ensuring transparent and understandable communication of financial data.
  • Train and mentor junior accounting staff, promoting professional growth and skill development.
  • Utilize advanced accounting software and tools for efficient financial management and reporting.
  • Help the firm to train current and future employees on departmental profitability and financial discipline in managing departmental budgets and expenditures.
  • Learn and use modern AI-powered tools such as ChatGPT 4, Magical Text Expander, Google Workspace, HubSpot CRM, Vonage SMS, Loom, Gmail Button, Context Menu Search, Clio, and customized automated client emails as appropriate to create automated follow-ups.

Technical Skills Required

  • QuickBooks (advanced level)
  • Microsoft Excel (advanced level)
  • Proficiency with Google Workspace.
  • Experience with ADP RUN payroll software for payroll processing.
  • Experience in Looker studio or Power BI or similar report tools are valuable, but not necessary

Qualifications and Requirements:

  • Bachelor's degree in Finance, Accounting, or a related field. A Master's degree or professional certifications will be an added advantage.
  • Minimum of 2 years of experience in finance or accounting roles, with at least 1 year in a executive position.
  • In-depth knowledge of Indian accounting standards, tax laws, and regulations, with experience in managing tax filings and audits.
  • Strong analytical and problem-solving skills with attention to detail and decision-making skills.
  • Excellent communication and interpersonal skills, including strong leadership abilities and experience managing a team.
  • Proficiency in financial software, specifically Tally, QuickBooks, and Zoho Books.
