To provide effective and efficient administrative support to the People and Culture Manager and reception duties for the Baroda office.
Duties And Responsibilities
Reception
Answering the phone
Inducting guests
Ensuring office doors are closed all the time
Wet Floor signs / OHS Safety precautions
Maintenance and booking of conference rooms
General Administration
Follow-up with recruitment agents for interview schedule
Scanning & maintaining documents as and when required
Organising courier services and distributing mail
Checking and approving invoices in Accounts Payable Database related to Reception/Administration
Ordering stationery, pantry, house-keeping and general company supplies
Providing all kind of admin support to Management
Staff Mobility
Booking car hire for local transport
Coordinating with staff on lodging and boarding arrangements during their visits
Office Management
Supervising cleaning staff and general upkeep of office premises
Ensuring technicians are arranged to fix spoiled light fixtures, carpeting, furniture and other office equipment
Supervising office pantry food levels
Coordinating with various vendors (coffee machine, house-keeping, stationery, plumber etc)
Ensuring all office maintenance work is resolved and update annual maintenance contracts with the vendors
Assisting in organizing company events
Ensuring HSE compliance
Skills And Experience
Adhere to all company's policies and IMS requirements
At least two years administrative experience
Excellent interpersonal skills
Professional personal presentation
Customer service orientation
Analytical and problem-solving skills
Effective verbal, written and listening skills
A high level of attention to detail
Computer skills including the ability to operate spreadsheet and word processing programs
Experience working in a customer-focused and fast-paced professional environment
