JOB RESPONSIBILITIES
- Global Travel background and experience.
- Basic Knowledge of travel risk management and safety procedures.
- Support the Travel Manager with regular meetings and quarterly business reviews with the Global Travel Management company.
- Establish a strong collaborative relationship with other global offices (UK, India, USA, and LATAM).
- Ensure travel arrangements comply with company policy and budget.
- Maintain and update the Global Business Travel and Expenses Policy and to ensure all relevant documents are up to date.
- Be the primary contact for all travel and event queries and be the escalation point for any service issues/complaints ensuring these are followed up promptly and effectively to achieve a full resolution. All service-related complaints and issues must be regularly monitored and documented.
- Perform regular daily checks on the Approval Tool to ensure all travel request have been routed to the correct approvers and approved promptly, to avoid the risk of missed fares and cancelled bookings.
- Inform the appropriate governance structure of any missed savings
- Conduct daily reviews of all travel bookings and proactively question any fares or rates that appear high, ensuring that cheaper alternatives are always being offered.
- Deal with all online booking tool queries and updates.
- Check the daily pre-trip travel reports to visually track the locations of our colleagues, identifying any bookings made to high-risk countries or any other risks (i.e. solo female travellers/early morning arrivals etc) and report these to the Travel Manager.
- Work in collaboration with Accounts Payable Team with reconciling the monthly lodge card payments generated by the TMC to ensure all transactions are correct and any refunds/credits have been issued.
- Assist with the negotiations for global preferred hotels and establish a strong working relationship with them to ensure ongoing support for any urgent bookings.
- Report any regular out of policy bookings toTravel Manager for investigation.
- Provide training for all users and new starters on travel booking platforms, processes, and the Global Travel Policy.
- Stay updated on new travel technologies and tools.
- Gain regular feedback from travellers/travel bookers to continuously improve travel services.
Work with the Travel Manager on producing relevant and timely monthly data on travel volumes and costs (and suggest cost saving opportunities)
