Supply Chain Coordinator

1) Job Purpose

Manage the EPC contractor invoice submission and payment processing from contract award to project handover to ensure timely payment to contractors. This supports timely project commissioning to meet sales targets and EBITDA. Ensure document traceability within the supply chain function.

2) Job Context & Major Challenges

• Coordinate with multiple agencies and functions (Finance, Purchase, Project, Contractor, EPC contractor, Transmission Line Contractor, Logistics service providers, etc.)
• Manage the payment tracker
• Circulate weekly MIS reports
• Ensure proper documentation filing for all project procurements to ensure traceability
• Manage audit requirements and ensure compliance for all documentation
• Prepare work orders and comparatives for administration, O&M, and C-class BOP items purchases

3) Key Result Areas

Project Audit Compliance

• Proper documentation filing for all projects to ensure traceability
• Attach supporting documents with each comparison statement
• Ensure all POs and contracts are signed as per purchase SOP
• Map out contract deliverables and track them
• Ensure proper invoicing as per contract

Payment and Invoicing

• Track payments and invoicing for all projects
• Prepare weekly reports for invoicing and payments
• Ensure payments are made as per agreed terms
• Verify invoices

Opex Contract Management

• Ensure timely order creation for maintenance of optimum capital spares at site

Import Operations

• Ensure zero detention charges at port
• Ensure timely custom clearance
