Job Role (Objective of the Role)
Responsibilities
- Operations:
- Implement Centre operation manual and guidelines.
- Managing day to day operations entailing Client servicing, Auditing of Expense Claims, and Vendor Invoices for various clients.
- Monitoring team productivity and quality.
- People Management and counseling of Team (Operation staff, office boys & contract staff), if required.
- Responsible for ensuring the effective functioning of the Service Intranet at the Centre.
- Overall supervision of pantry operations in the center.
- Overall supervision of attendance, grooming & discipline of the Centre staff, both in-house and contract staff (Team Members & Contractual staff).
- Maintain strong/good relationship with Building Association for smooth workflow.
- Review client feedback form and have one on one meeting and work on the opportunity areas.
- To ensure client contractual deliverable such as Customer Satisfaction, Average response time, internal quality, are complied with. Value addition to the clients.
- Facility Management:
Will be responsible for facility management of centers in following ways :
- Customization & modification
- Troubleshooting
- Maintenance and upkeep towards appearance and hygiene
- Preventive maintenance
- Vendor Management:
- Processing vendor bills and releasing payments on time to maintain good vendor relationship.
- Review cost and finalize the best one.
- Discuss the POA with vendor before starting the work.
- Deploy Manpower to ensure the area is ready and kept clean for client visit.
- Review work and work Contracts/AMC with the contractor in operations such as all E&M equipment, Housekeeping, Security, Cafeteria, Printing & Stationery, Electrical/Physical Security and other consumables items.
- Developing long-term partnerships with suppliers; managing day-to-day supplier performance to ensure meeting of service, cost, delivery and quality norms.
- Generating reports and ensuring timely payments of service providers, telephone, and electricity & facility bills.
- Client Management
- Conduct feedback exercise with clients and compile reports regarding the same.
- Ensure timely closure of all complaints and requests made by clients.
- Customer service delivery interface on a day to day basis.
- To keep a check on the client receivables and vendor payables.
- Ability to build relations with the clients.
- Account Related
- Monthly Reports will be sent related to Petty cash, Usage of conference room, stationeries issued to clients, snacks, coffee & tea.
- Follow-up with the payments to be made to vendors in time.
- Responsible for SOP, Planning, Budgeting, Costing and MIS
- Handling Sales/Presales
- Coordination with Sales / Presales team for site visits.
- Overall responsible for site visit operation in concern with pre sales / sales team for all required support.
- To oversee resource management and crisis/ attrition planning across all clients so as to ensure that there is no fall back due to non-availability of resources.
- To develop co-associates and groom them to handle higher responsibilities in the organization.
- To develop and drive implementation of dynamic staffing, productivity and scheduling models. Performance outcomes/Deliverables (reports, communications, quotes, updates, etc.)
- To communicate across operations on the status of accounts and customer satisfaction achieved as also other operational and quality scorecard.
