Role Introduction
The Secretary to the Managing Director provides administrative and secretarial support to the managing director to ensure smooth operations and efficient communication within the organisation. The role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks as assigned.
What You Will Do
- Manage and maintain the managing director's schedule, including arranging appointments, meetings, and travel itineraries.
- Coordinate and schedule internal and external meetings, ensuring all necessary arrangements are made.
- Handle incoming and outgoing correspondence, including emails, phone calls , and letters, and prioritize as necessary.
- Prepare and edit documents, reports, and presentations for the managing director.
- Screen and direct phone calls visitors to appropriate parties.
- Maintain and update filling systems, both electronic and physical, ensuring easy retrieval of documents.
- Assist in preparing agendas and minutes for meetings, as well as follow up on action items.
- Handle confidential information with discretion and professionalism.
- Conduct research and compile data as requested by the Managing Director.
- Provide general administration support, such as ordering office supplies, coordinating maintenance requests, and managing office equipment.
- Liaise with other departments and external stakeholders on behalf of the Managing Director.
- Perform other duties as assigned to support the efficient functioning of the office and support the Managing Director's Objectives.
What You Will Have
- Proven experience as a secretary or administrative assistant, preferably in a senior level support role.
- Excellent organizational and time management skills, with the ability to prioritise tasks effectively.
- Strong communication skills, both written and verbal.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Discretion and confidentiality in handling sensitive information.
- Attention to detail and accuracy in completing tasks.
- ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
- Professional demeanor and strong interpersonal skills.
