Job Description:Secretary/Executive Assistant

Key Responsibilities:

  1. Administrative Support:
  • Manage and organize executive calendars, scheduling appointments, meetings, and events.
  • Coordinate travel arrangements, including flight bookings, hotel accommodations, and transportation for executives.
  • Prepare and distribute correspondence, memos, letters, reports, and other documents as needed.
  • Maintain efficient filing systems, both electronic and physical, ensuring easy retrieval of documents.
  • Handle incoming calls, inquiries, and requests, directing them to the appropriate staff members.
  • Assist in the preparation of presentations, reports, and meeting materials.
  1. Communication Liaison:
  • Serve as a point of contact between executives, staff, clients, and external stakeholders.
  • Facilitate communication within the bank by disseminating information, announcements, and updates.
  • Maintain confidentiality of sensitive information and handle it with discretion.
  1. Record Keeping and Documentation:
  • Record and transcribe minutes of meetings, conferences, and discussions as required.
  • Update and maintain databases, contact lists, and organizational charts.
  • Assist in the preparation and distribution of internal and external communications.
  1. Office Management:
  • Ensure the office is well-organized and equipped with necessary supplies.
  • Coordinate office maintenance, repairs, and equipment servicing.
  • Manage incoming and outgoing mail, including sorting, distributing, and dispatching.

Qualifications and Skills:

  • Proven experience as a secretary, administrative assistant, or similar role, preferably in a banking or financial services environment.
  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant applications.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication skills, both written and verbal, with a professional and courteous demeanor.
  • Attention to detail and accuracy in all work processes.
  • Ability to handle confidential information with integrity and discretion.
  • Flexibility and adaptability to meet changing priorities and deadlines.
  • A high level of professionalism and commitment to maintaining confidentiality and upholding ethical standards.

Education:

Graduate/Postgraduate with 2 to 3 years of experience in similar profile
