Job Description:Secretary/Executive Assistant
Key Responsibilities:
- Administrative Support:
- Manage and organize executive calendars, scheduling appointments, meetings, and events.
- Coordinate travel arrangements, including flight bookings, hotel accommodations, and transportation for executives.
- Prepare and distribute correspondence, memos, letters, reports, and other documents as needed.
- Maintain efficient filing systems, both electronic and physical, ensuring easy retrieval of documents.
- Handle incoming calls, inquiries, and requests, directing them to the appropriate staff members.
- Assist in the preparation of presentations, reports, and meeting materials.
- Communication Liaison:
- Serve as a point of contact between executives, staff, clients, and external stakeholders.
- Facilitate communication within the bank by disseminating information, announcements, and updates.
- Maintain confidentiality of sensitive information and handle it with discretion.
- Record Keeping and Documentation:
- Record and transcribe minutes of meetings, conferences, and discussions as required.
- Update and maintain databases, contact lists, and organizational charts.
- Assist in the preparation and distribution of internal and external communications.
- Office Management:
- Ensure the office is well-organized and equipped with necessary supplies.
- Coordinate office maintenance, repairs, and equipment servicing.
- Manage incoming and outgoing mail, including sorting, distributing, and dispatching.
Qualifications and Skills:
- Proven experience as a secretary, administrative assistant, or similar role, preferably in a banking or financial services environment.
- Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant applications.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal, with a professional and courteous demeanor.
- Attention to detail and accuracy in all work processes.
- Ability to handle confidential information with integrity and discretion.
- Flexibility and adaptability to meet changing priorities and deadlines.
- A high level of professionalism and commitment to maintaining confidentiality and upholding ethical standards.
Education:
Graduate/Postgraduate with 2 to 3 years of experience in similar profile
