Job Description

The School Admin and Facilities Executive at our IB School plays a critical role in ensuring the efficient operation of the schools administrative and facilities functions. This position is essential in maintaining a safe, functional, and organized environment for both students and staff.

Key Responsibilities:
  • Oversee day-to-day administrative tasks and operations
  • Manage and coordinate school events, meetings, and appointments
  • Supervise the maintenance and cleanliness of school facilities
  • Collaborate with vendors and contractors for facility repairs and improvements
  • Ensure compliance with health and safety regulations
  • Develop and implement administrative and facility management policies
  • Support the recruitment and onboarding of school staff
  • Handle budgeting and financial management for facilities and operations
  • Coordinate transportation logistics for students and events
  • Respond to inquiries and resolve issues from students, parents, and staff
  • Manage inventory and procurement of school supplies and equipment
  • Utilize technology to streamline administrative processes
  • Lead emergency preparedness and response efforts
  • Conduct regular inspections of facilities and equipment
  • Provide administrative support to school leadership
Required Qualifications:
  • Bachelors degree in Business Administration, Education, or related field
  • Prior experience in school administration or facilities management
  • Knowledge of IB curriculum and educational regulations
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office and administrative software
  • Ability to multitask and prioritize competing demands
  • Experience with budget management and financial reporting
  • Problem-solving and decision-making capabilities
  • Understanding of safety and security protocols
  • Leadership and team management skills
  • Adaptability and flexibility in a dynamic school environment
  • Attention to detail and accuracy in work
  • Knowledge of facility maintenance best practices
  • Certification in facility management is a plus
