Job Summary: As a Real Estate Receptionist, you will be the first point of contact for clients, visitors, and vendors entering our office. You will provide exceptional customer service, manage incoming calls, and assist with various administrative tasks to support the real estate team.
Greet clients and visitors in a professional and friendly manner.
- Answer and direct incoming phone calls to the appropriate person or department.
Provide clients and visitors with information about properties, services, and company policies.- Schedule appointments for real estate agents and maintain their calendars.
Assist clients with completing necessary paperwork, such as rental applications or purchase agreements.
- Coordinate with real estate agents to ensure efficient client communication and follow-up.
Maintain office cleanliness and organization, including reception and conference rooms.- Manage incoming and outgoing mail, including sorting, distributing, and processing packages.
Assist with administrative tasks, such as data entry, filing, and document preparation.
- Monitor office supplies inventory and place orders as needed.
Assist in organizing and coordinating office events, meetings, and open houses.- Adhere to confidentiality policies and handle sensitive information with discretion.
Proven experience as a receptionist or administrative assistant, preferably in a real estate or property management environment.- Excellent communication and interpersonal skills, with a focus on providing outstanding customer service.
Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with real estate software is a plus.
Ability to multitask and prioritize tasks effectively in a fast-paced environment.- Professional appearance and demeanor.
Knowledge of real estate terminology and processes is desirable but not required.
- High school diploma or equivalent; additional Office Administration or Real Estate certification is a plus.
