Role Overview
The HR Assistant will support the Human Resources department in managing day-to-day HR activities and providing assistance across various HR functions. This role requires experience within the oil and gas industry, as well as strong organizational skills and an understanding of industry-specific HR policies and practices. The HR Assistant will collaborate closely with HR managers, employees, and stakeholders to ensure efficient HR operations, compliance, and high-quality service delivery.
Key Responsibilities
- Recruitment and Onboarding:
- Assist with the recruitment process, including posting job ads, screening resumes, scheduling interviews, and conducting initial interviews when needed.
- Coordinate pre-employment requirements, including background checks, reference checks, and medical clearances specific to oil and gas industry standards.
- Facilitate the onboarding process for new hires, ensuring all necessary documentation is completed and employees are familiar with company policies, safety protocols, and project locations.
- HR Administration and Record-Keeping:
- Maintain accurate and up-to-date employee records, including personnel files, certifications, work permits, and contract details.
- Update HR databases and employee management systems with employee data, leave records, and training completions.
- Assist with the preparation of HR documents, such as employment contracts, letters of employment, and job descriptions.
- Employee Relations and Communication:
- Provide employees with information on HR policies, benefits, and employment procedures specific to the oil and gas industry.
- Serve as a point of contact for employees regarding HR inquiries, escalating issues to HR management as necessary.
- Support the HR team in organizing employee engagement activities, training sessions, and team-building events.
- Training and Compliance:
- Assist in coordinating training programs, certifications, and compliance checks required for oil and gas projects, including safety and regulatory compliance.
- Track mandatory training, certification renewals, and compliance deadlines, ensuring all employees meet industry and company standards.
- Prepare training schedules, distribute training materials, and gather feedback from participants.
- Payroll and Benefits Support:
- Support payroll processing by providing accurate timesheets, attendance records, and updates on employee status.
- Assist with employee benefit administration, including enrollment, changes, and employee inquiries regarding health insurance, retirement plans, and allowances.
- Handle confidential payroll and benefits information with discretion and professionalism.
- Compliance and Regulatory Support:
- Ensure that employee records and procedures comply with labor laws and industry regulations.
- Maintain compliance with the oil and gas industry's health, safety, and environmental standards by tracking necessary documentation and clearances.
- Assist in audits and prepare required reports on workforce data, diversity, and health and safety compliance.
Qualifications
- Education: Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.
- Experience: Minimum 2 years of HR experience, with at least 1 year in the oil and gas industry.
- Skills: Familiarity with HRIS (Human Resources Information Systems) and MS Office Suite (Excel, Word, Outlook).
- Knowledge: Understanding of HR processes, labor laws, and regulatory standards specific to the oil and gas sector.
