We are looking for a friendly, organized, and efficient Receptionist to join our team. As the first point of contact for visitors and callers, the Receptionist will play a vital role in creating a welcoming atmosphere, providing excellent customer service, and ensuring smooth daily operations at the front desk.
Key Responsibilities:
- Greet and Assist Visitors: Welcome visitors with a warm, professional demeanor, address inquiries, and direct them to the appropriate department or person.
- Answer and Route Phone Calls: Manage incoming calls, screen and route them as necessary, and provide information to callers in a courteous manner.
- Manage Appointments and Schedules: Schedule, confirm, and coordinate appointments for staff, guests, or clients as required.
- Handle Inquiries: Provide accurate information about the organization's services, address general inquiries, and manage the reception email inbox.
- Maintain Reception Area: Ensure that the reception area is tidy, presentable, and stocked with necessary materials, such as brochures, forms, and office supplies.
- Sort and Distribute Mail: Receive and organize incoming mail and packages, and ensure prompt distribution to the correct departments.
- Perform Administrative Tasks: Assist with various administrative tasks, including data entry, document preparation, and filing, as needed.
- Coordinate with Security and Facilities: Oversee visitor logbooks, issue visitor badges, and liaise with security or facilities staff when necessary.
Requirements:
- Proven experience as a receptionist, front desk representative, or similar role preferred
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and multitasking abilities
- Ability to handle a fast-paced environment and manage workload effectively
- Customer-service oriented with a friendly and approachable attitude
- Basic administrative skills and experience with office equipment (e.g., fax machines, printers)
