Job Description

Overview:

As a Receptionist in the real estate industry, you will play a crucial role in creating a positive first impression for clients and visitors to our office. Your excellent communication skills and friendly demeanor will contribute to a welcoming environment and help uphold the professional image of our organization. You will be responsible for managing the front desk, coordinating appointments, and providing administrative support to ensure efficient operations.

Responsibilities:

  • Welcome and greet clients, visitors, and staff in a professional and friendly manner.
  • Answer and direct incoming calls to the appropriate parties.
  • Manage and maintain the reception area, ensuring it is clean and organized at all times.
  • Schedule and manage appointments, meetings, and conference room reservations.
  • Assist with administrative tasks such as data entry, filing, and photocopying.
  • Handle incoming and outgoing mail and packages.
  • Provide basic information about the company, services, and products to visitors.
  • Coordinate with other staff to ensure smooth communication and efficient workflow.
  • Assist with basic accounting tasks such as invoicing and receiving payments.
  • Maintain office supplies and place orders as needed.
  • Handle any customer inquiries or issues with professionalism and efficiency.
  • Ensure compliance with company policies and procedures.
  • Assist with special projects and events as needed.
  • Contribute to a positive and collaborative work environment.

Qualification:

  • High school diploma or equivalent.
  • Prior experience as a receptionist or in a customer service role is preferred.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office and basic computer skills.
  • Strong organizational and multitasking abilities.
  • Detail-oriented and able to maintain a professional and neat appearance.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Professional and friendly demeanor with a positive attitude.
  • Ability to work effectively in a fast-paced and dynamic environment.
  • Knowledge of real estate industry terminology and practices is a plus.
  • Strong problem-solving skills and the ability to remain calm under pressure.
  • Ability to adapt to changing priorities and be resourceful in solving challenges.
  • Flexibility to work occasional evenings or weekends as needed.
  • Basic knowledge of office equipment such as printers, copiers, and fax machines.
  • Ability to prioritize tasks and manage time efficiently.
