Job Description

The ideal candidate will possess excellent communication skills in

English and exhibit a high level of professionalism in handling various tasks including reception duties,

administration of Office & travel arrangement.

esponsibilities:

Reception Duties:


Greet and welcome visitors with a warm and friendly demeanor.

Manage incoming calls and direct them to the appropriate personnel.

Maintain office security by following safety procedures and controlling access via the reception

desk (monitor logbook, issue visitor badges)

Receive, sort, and distribute incoming mail and packages.

Prepare outgoing mail and packages for dispatch Domestic and International.

Ensure guests are attended to promptly and provided with necessary assistance.

Coordinate with relevant departments to ensure guests needs are met.

Arranging guest lunch.

Administration Duties:


Keep track of office boys attendance and overtime, and assign tasks as needed for smooth

operations

Should maintain a track of Pantry and stationary material

Oversee office cleaning activities to maintain a clean, organized and hygienic work environment

Travel arrangement and booking for Management people includes Flight, hotel and visa,

currency arrangement

Support the CEO by managing various tasks for him such as processing credit card payments,

preparing expense vouchers, Travel booking, cabin set up and maintenance.

Handle employee and administration expenses, ensuring accurate submission to the accounting

department for timely payment.

Co-ordination with various vendors like EPBX, Air condition, stationary, travel agents, office

repairing, pest control Etc.

Taking care of office maintenance and repairing work time to time.

Required Experience, Skills and Qualifications:

Proven experience as a Receptionist & administration for 2+ Years

Person should be proactive

Bachelor's degree in a relevant field

Proficient in spoken English with excellent communication skills

Consistent, professional dress, and manner.

Strong organizational skills with the ability to multitask and prioritize tasks effectively.

Good time management skills.

Should have knowledge about MS Office applications (Word, Excel, Outlook).

Knowledge of travel booking platforms and procedures is preferred.

Female candidates are preferred for this role.
