PROPERTY MANAGER.
GOALS
The manager shall be responsible for assigning and supervising all operational activities as undertaken by CBRE at client sites. Ensure smooth working through organizing, directing, managing and evaluating operations in areas of facility and management support services. Also, responsible for client relationship, Smooth integration between engineering and soft services, Parking management / Security, Pest control and landscaping, MIS generation, Critical equipment breakdown trend analysis, financial & Budgetary Controls of all services.
Position Purpose
Manager must ensure that the team performs as per the scope & complete all task as per the SLA & meet the KPI. All training need to be scheduled for the year and implemented accordingly.
All such audits to be made ready as per the plans. Escalate and action on those items those are escalated by Shift Engineers /Helpdesk on any such abnormalities in the engineering operations and HK work with partner team to address the same with proper vendor coordination. All statutory/certifications requirements for equipment's and facilities are to be completed on-time
DUTIES AND RESPONSIBLITIES
Operations and Management
Property Manager will be responsible for managing all aspects of the facility management service delivery system; primarily Operations in this capacity, the Property Manager is accountable for the achievement of the Management Team.
To ensure that Facility Management staff provides timely reports to the management and adhere to agreed SLA & KPI.
To ensure that PM and vendors staff track the completion of the scheduled work.
To ensure all reports, checklist, statutory compliance are adhered at all times.
To ensure accuracy of the data, analyse the Facility Management costing and highlight the management accordingly.
Accountable for PM services deliverables for his/her managed portfolio (branches or offices)
Manage 3rd party services contractors appointed by Client
Ensure preventive maintenance schedules are completed as per the schedule.
Ensure effective completion of all incident reports.
Ensure effective completion of all Service connect calls within SLA
Assist in managing operating expenses.
To ensure proper deductions and penalties are reviewed periodically & action taken accordingly.
Understanding and work for Weeks planned scheduled and coordinate with Shift engineer for engineering related activities.
To ensure vendor management & vendor performance management is done on monthly basis.
To ensure monthly invoicing is done on time as per agreed timelines and taken signoff from authorized signatories
Accomplish Key Performance Indicators.
Assist in managing end users expectation.
Undertake comprehensive procurement procedure for facilities maintenance services.
Coordinate with Client Operations Manager on the goal setting, performance reviews, and career development plan, HR related issues for facilities management team.
Shift Engineers /Help desk in developing & implementing the facilities management account plan for the facility.
Manage and supervise day to day operations at campus location for direct reporters
Weekly walk around to access the facility condition
Conduct review meetings with service vendors to ensure compliance, service delivery
Ensure accomplishment of key performance indicators as per the service agreement & identified by the Client
Oversee the compilation and deliver the required management reports of all functions & performance on time and in the prescribed CBRE/Client formats
Assist client in planning the PM budget for the financial year
To carry out any additional task as and when asked by the Client Manager within the scope of services.
Preparation & submission of monthly management report by 5th of every month to the client with a copy marked to Operation manager.
Ensure the review of MMR with Shift Engineer along with the client every month.
Ensure accuracy in cost sheets as submitted to office and checking the cost sheet upon receipt of the invoice.
Tracking of all vendor and CBRE bills for payments, ensuring the client pays on time.
Suggest appropriate cost control measures by analysing alternates, conducting audits and inviting quotations from various vendors for the services / works.
Co-ordinate with vendors, audit teams to ensure that the required documents are accurate and are maintained on site.
STATUTORY REQUIREMENT
Ensure to have strict compliance with local and national statutory rules & regulations and ensure that all the relevant statutory returns pertaining to all the areas of operations are submitted to the concerned statutory authorities.
Work closely with the vendors to ensure all the service providers adhere to statutory norms always.
CLIENT RELATIONSHIP MANAGEMENT
Manage action requests and escalations if any by clients for property related issues.
Monitor action requests and escalations if any by clients across client locations.
Engage clients on a periodic basis for feedback/concerns and updates.
Ensure that you adhere to the policies of the client and understand rules and regulations
STRATEGY & PLANNING
Develop and establish procedures and policies to execute contractual requirements
Develop and implement a strategic management plan for performance enhancement.
Identify/Introduce & implement CBRE best practices
PEOPLE MANAGEMENT
Manage, motivate and develop reporting staff
Monitor employee recognition program
