Job Description

creen calls, take messages, respond to inquiries and requests for information, respond to

public information requests, oversee public relations and act as the 1st point of contact

  • Procurement: Obtain and follow up on quotes, assist with vendor registration, follow up on

    invoices, checking deliveries, process procurement related paperwork such as signing and

    filling invoices, Ellipse system capturing

  • Maintain an office filing system including paper files/file cabinets, shared electronic files.

  • Quality control of documentation, document archiving and document destruction.

  • Operate and maintain a widevariety of office equipment

  • Maintain all assets (office furniture, kitchen equipment etc., test equipment.) and storage

    layout, suggest improvements, implement changes as needed or directed.

  • Transcribe, prepare and format minutes for approval, capturing and drafting reports

  • Prepare, type, format and proofread a wide variety of documentation including reports,

    correspondence, memos

  • Manage travel-related bookings: Accommodation, flights and vehicle rentals

  • Scheduling services of plant equipment such as forklifts and site vehicles

  • Manage and control office consumables including office supplies, postage system, kitchen

    supplies, printer and copier supplies, stationary, etc.

  • Build, monitor & maintain relationships with all catering, local municipality, printing & other

    office supply vendors; monitoring costs & invoices to approved levels

  • Order / purchase food for the office, Friday lunches and food for any special events

  • Arrange for Postage and courier services including shipping

  • Events Planning: Organise site visits, manage invitations

  • Perform Site Inductions and orientation programs for new persons

  • Capture Timekeeping, overtime, standby and callouts for internal and contractors and also

    consolidate and capture of intern monthly hours.

  • Update noticeboards

  • Track person and contractor activities and person locations of the site

  • Maintain Plant activity Calendars

  • Manage boardrooms, schedule video conference facilities (Blue jeans)

  • Manage warehouse activities: goods receiving, goods off-loading and storage, stock takes

    and controlling

  • Assist in capturing credit card and garage card claims

  • Manage Ellipse (CMMS) purchase requests

  • Maintain access control and verify against the security invoice.

  • Maintain Lists: valid driver's licences, medicals, access control list, first aid, PPE, IT

    equipment, etc.

  • Log all IT-relate
