Job Summary:

The Personal Secretary/Assistant will provide high-level administrative support to the Business Head by handling a variety of tasks to ensure the executive can focus on strategic initiatives. This role requires excellent communication skills, multitasking abilities, and discretion, as well as a proactive and organized approach to problem-solving.

Key Responsibilities:

- Calendar Management: Coordinate and manage executives schedule, including meetings, appointments, and travel arrangements.

- Communication Handling: Act as the first point of contact, handling incoming calls, emails, and correspondence in a professional manner.

- Travel Arrangements: Plan and organize domestic and international travel, including accommodation, transport, and itineraries.

- Meeting Coordination: Organize meetings, prepare agendas, take detailed minutes, and follow up on action items.

- Documentation: Draft, review, and manage correspondence, reports, presentations, and other documents as required.

- Task and Project Management: Assist in the coordination of projects, ensuring deadlines are met and providing updates on progress.

- Confidentiality: Handle sensitive information with discretion and confidentiality at all times.

- Office Management: Order supplies, manage office equipment, and ensure smooth operations within the office environment.

- Personal Errands: Run personal errands for the executive as needed, including managing appointments, bookings, or other personal tasks.

- Research: Conduct research on various topics, compile information, and provide summaries to the executive.

- Liaison: Coordinate with internal teams and external stakeholders on behalf of the executive.

Qualifications and Skills:

- Education: Bachelors degree or relevant certification preferred.

- Experience: Proven 2-3 years of experience as a Personal Assistant, Executive Assistant, or similar role.

- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), email management systems, and project management tools.

- Professionalism: Maintains a professional demeanor with a high level of discretion and confidentiality.

- Flexibility: Willingness to work outside of standard hours when necessary and handle urgent tasks as they arise.

- Excellent interpersonal skills and the ability to build relationships with key stakeholders.
