Job Description:

We are currently seeking a skilled and experienced Secretary to join our team with a long-term perspective, providing indispensable administrative support. The ideal candidate will be dedicated, adaptable, and ready to grow with our firm.

Responsibilities:

Serve as the primary point of contact of the Partner, managing phone calls, emails, and correspondence.

Schedule and coordinate appointments and meetings.

Prepare and distribute agendas, reports, and presentations for meetings.

Assist in drafting and editing documents, letters, and other communications.

Coordinate with other team members and departments to facilitate efficient workflow.

Handle administrative tasks such as filing, photocopying, and scanning documents.

Maintain the office calendar, ensuring all appointments and deadlines are accurately recorded.

Assist in tax-saving initiatives by organizing relevant documentation and liaising with the accounting team.

Managing Social media platforms, including LinkedIn, Twitter, and Instagram, by posting updates, engaging with followers, and promoting the firm's services.

Handle ticketing and travel arrangements, ensuring cost-effective and timely bookings.

Assist in billing processes and ensuring accuracy.

Maintain accurate records and files, both electronic and physical, ensuring confidentiality and security.

Requirements:

Bachelor's degree

Proven experience of at least 1 year as a Secretary or Administrative Assistant.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Excellent communication skills, both written and verbal.

Attention to detail and accuracy in all work.

Ability to prioritize tasks and manage deadlines effectively.

Discretion and confidentiality when handling sensitive information.

Flexibility and adaptability to changing priorities and situations.
