Position Overview:
Vsynergize is seeking a diligent and detail-oriented Payroll Executive - HR to manage and oversee our payroll functions. The successful candidate will ensure that our employees are paid accurately and on time, handle payroll queries, and maintain compliance with all relevant regulations. This role will involve collaboration with the HR and Finance teams to streamline payroll processes and improve overall efficiency.
Key Responsibilities:
Payroll Processing:
Prepare and process the organization's payroll on a regular schedule (bi-weekly, monthly, etc.).
Enter payroll information for new hires, terminations, and changes in pay.
Calculate employee wages, overtime, bonuses, and other forms of compensation.
Ensure accurate and timely processing of payroll updates, including new hires, terminations, and changes to pay rates.
Compliance and Reporting:
Ensure payroll operations comply with relevant state, and local laws and regulations.
Prepare and submit payroll tax returns and other regulatory filings.
Generate payroll reports for internal and external stakeholders, such as earnings summaries, tax summaries, and deductions reports.
Record Maintenance:
Maintain accurate and up-to-date payroll records and employee information.
Manage and update payroll systems to ensure accurate data.
Maintain confidentiality of payroll data and employee information.
Issue Resolution:
Address and resolve payroll-related inquiries and discrepancies from employees.
Investigate and correct payroll errors and discrepancies.
Collaborate with HR and Finance departments to resolve payroll issues.
Benefits Administration:
Manage payroll deductions for benefits, such as health insurance and retirement plans.
Coordinate with benefits providers to ensure accurate benefits enrollment and deductions.
System Management:
Maintain and update payroll software and systems.
Implement process improvements to enhance the efficiency and accuracy of payroll processes.
Audits and Reconciliation:
Assist in internal and external payroll audits.
Reconcile payroll accounts and ensure accuracy in payroll accounting.
Employee Support:
Provide support and training to employees regarding payroll-related matters.
Assist with onboarding new employees, explaining payroll procedures and policies.
Qualifications:
Education: Bachelor's degree in accounting, Finance, Human Resources, or a related field.
Experience:
2-4 years of experience in payroll processing and management.
Experience with payroll software (e.g., ADP, SAP, Oracle).
Skills:
Strong knowledge of payroll regulations and compliance requirements.
Proficiency in payroll software and Microsoft Office Suite, particularly Excel.
Excellent attention to detail and accuracy.
Strong organizational and time-management skills.
Good communication and interpersonal skills.
Ability to handle sensitive information confidentially.
Preferred Qualifications:
Certified Payroll Professional (CPP) designation.
Experience with HRIS systems.
Knowledge of tax laws and reporting requirements.
Working Conditions:
Standard office environment with regular working hours.
Occasional overtime may be required during payroll processing periods or audits.
