IIT Kanpur Development Foundation (IITK DF) is a Section 8 not-for-profit company established by IIT Kanpur to engage with external stakeholders like Alumni, corporations, Foundations, and Philanthropists in India and across the globe and to raise funds to meet its long-term growth aspirations. Such offices are called development offices in universities of global repute and usually have a staffing of 1 for every 1,000 alumni.
Position: Manager, Operations (NGO and Fundraising Industry)
Location: IIT Kanpur Development Foundation (IITKDF), Kanpur
Reporting to: Vice President, Operations & Alumni Relations
Responsibilities and Expectations
The manager Operations will oversee all administrative functions crucial to the smooth operation of the office. The ideal candidate will be responsible for managing various aspects of administrative support, including but not limited to inventory management, reimbursement processing, purchase requisitions, petty cash handling, and vendor management. The ability to handle donation management is a crucial requirement for this role.
Inventory Management:
Implement and maintain efficient inventory control systems.
Monitor stock levels, track inventory movements, and conduct regular audits.
Collaborate with relevant teams to ensure optimal stock levels are maintained.
Maintain books of accounts Stock Register, Asset Register, Good Receipt register, etc.
Purchase Requisitions:
Monitor and follow the Purchase Policy
Create Note files and invoices processing
Draft business justification for purchase of goods and services
Coordinate with various departments to understand procurement needs.
Generate and process purchase requisitions, ensuring timely and cost-effective procurement.
Petty Cash Management:
Manage petty cash funds, disbursements, and reconciliations for all locations.
Maintain accurate records of petty cash transactions and ensure compliance with company policies.
Vendor Management:
Establish and maintain positive relationships with vendors.
Negotiate contracts, terms, and conditions to ensure favorable terms for the organization.
Evaluate vendor performance and make recommendations for improvements.
Automation:
Utilize existing automation tools to streamline operational processes.
Provide training and support to team members on the effective use of these tools.
Donation Management:
Handle all aspects of donation management, including recording, tracking, and acknowledging donations.
Collaborate with fundraising teams to ensure accurate financial reporting related to donations.
Making presentations on Donations trends for both Indian and US donations
Desired Profile
Bachelor's degree in Business Administration, Operations Management, or a related field; an MBA is preferable.
Prior experience working with a non-profit and managing donations volumes is preferable
Strong understanding of inventory management, reimbursement processing, purchase requisitions, petty cash, and vendor management.
Must be willing to relocate to Kanpur, UP
Proficiency in using ERP systems and other automation tools.
Strong excel and PPT skills.
Knowledge of basic accounts is preferable.
