About the role
The Operations Coordinator will manage the day-to-day administrative tasks essential for seamless campaign execution and smooth operational support. This role requires a fast-paced, agile approach and excellent communication skills to coordinate effectively across multiple areas. By handling core operational tasks with accuracy and efficiency, the Operations Coordinator enables the Head of Operations to focus on strategic, high-level initiatives.
Key Deliverables
- Ensure efficient operations that improve business processes and minimise waste.
- Deliver client campaigns on time, within budget, and to the highest standard.
- Support the company's growth targets by maintaining smooth and reliable operational processes.
Key Responsibilities
- Supplier Coordination: Manage all communications and processes with suppliers (including print, gifting, and stationery partners), ensuring high-quality, on-time fulfilment for all campaigns.
- Stock and Distribution Management: Maintain accurate stock levels, place orders, arrange distributions, and coordinate with shipping providers to troubleshoot and resolve logistical issues.
- Campaign Briefing and Timelines: Obtain quotes, brief suppliers, and work closely with the Scribe Engagement Manager to monitor campaign timelines and ensure smooth handoffs for upcoming projects.
- Data Management: Verify the accuracy of client-supplied artwork using Adobe Acrobat and oversee data integrity checks. Familiarity with SQL is a bonus but not essential, as the ability to learn and adapt to data tools is more critical. Collaborate with the Account Management team to ensure corrections are made prior to campaign launch.
- Financial Administration: Support financial administration by handling ad-hoc transaction reconciliation and managing payments. A numerical mindset and comfort with data are key; experience in bookkeeping or finance is not required but would be beneficial.
- General Administrative Support: Coordinate scheduling, prepare reports, support budget tracking, manage office resources and goods, and handle ad hoc requests from the Director of Operational Strategy to facilitate efficient daily operations.

- Proficiency in data entry, scheduling, and basic financial reconciliation.
- Ability to collaborate effectively with cross-functional teams.
- Adaptability to handle a mix of structured, repetitive tasks and dynamic, problem-solving challenges.
- A desire to learn and adapt to data handling tools (knowledge of SQL is a bonus).
- Previous experience of coordinating projects is highly desirable.
Work Schedule
As the client is UK-based, you will be required to work in UK daytime:
- Monday to Friday
- 2:30 PM to 11:00 PM IST (9:00 AM to 5:30 PM GMT)
