About the Job:
Calendar Management:
  • Coordinate and manage the Sr. Directors calendar, including scheduling meetings, appointments, and events.
  • Prioritize and organize daily activities, ensuring alignment with business objectives.
  • Act as the point of contact for scheduling conflicts and making necessary adjustments.
Travel Coordination:
  • Arrange and coordinate with the travel desk for domestic and international travel for the Sr. Director/ Director/ Department heads including flights, accommodations, ground transportation, and itineraries.
  • Prepare and manage travel expense reports on time.
  • Ensure travel plans align with the schedule and company policies.
Administrative Support:
  • Provide administrative support for the sourcing business function
  • Prepare and organize documents, presentations, and reports as needed.
  • Assist in coordinating cross-functional meetings and ensuring follow-up on action items.
  • Support the sourcing team in organizing and managing sample stages, including tracking progress, coordinating with vendors, and ensuring deadlines are met.
  • Assist in maintaining accurate records of sourcing activities, contracts, and agreements.
  • Facilitate communication between the Sr. Director, sourcing team, and external stakeholders.
Office Management:
  • Manage office supplies, equipment, and resources to ensure a well-organized work environment.
  • Coordinate with IT and facilities teams to address any office-related issues.
  • Assist in planning and organizing team events, workshops, and off-site meetings.
Communication and Liaison:
  • Act as a liaison between the Sr. Director and internal/external stakeholders, ensuring clear and timely communication.
  • Handle sensitive and confidential information with discretion.
  • Draft and review correspondence, emails, and other communications on behalf of the Sr. Director.
About you:
  • Bachelor s degree in Business Administration, Management, or a related field preferred.
  • Minimum of 5 years of experience in an administrative or operational support role, preferably in a product development or sourcing environment.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with travel coordination and calendar management.
  • Ability to work independently and as part of a team.
  • Detail-oriented, proactive, and able to handle confidential information with discretion.
  • Familiarity with the apparel industry and product development processes is a plus.
