Job Title: Office Manager

- Job Summary: The Office Manager for Going to Schools Programs will oversee the administrative and operational aspects of the education program. This role ensures the smooth and efficient functioning of the office, supporting the program staff and facilitating communication and coordination among teams. Based in Versova, Mumbai, you should live close by [within 10 km] as you'd be opening the office at 9am every day. In addition to being office-based, you'll travel across the city to meet vendors, collect three quotes, visit the program in action. Three days a week office based, three days a week travel across the city.
Manage day-to-day office operations, including maintaining office supplies, equipment, and facilities.
- Ensure the office environment is professional, organized, and conducive to productivity.
Assist the Program Director in planning, organizing, and executing educational programs and events.
- Coordinate logistics for workshops, training sessions, and other program-related activities.
Maintain accurate records of program activities, participant data, and outcomes.
Get three or more quotes for each purchase
- Impanel vendors for program requirements
Visit Vendors to verify quality
- Monitor on-time delivery to deadline and quality stipulated
Process invoices, manage petty cash, and ensure timely payments to vendors and service providers.
- Maintain financial records and assist with financial reporting and audits.
- Communication and Coordination
Serve as a liaison between the education program team and other departments within Going to School.
- Draft and distribute correspondence, reports, and other documents as needed.
Assist in recruitment, onboarding, and training of new program staff and volunteers.
- Maintain personnel records and ensure compliance with HR policies and procedures.
Coordinate staff meetings, performance reviews, and professional development activities.
- Monitoring and Evaluation
Support the collection and analysis of data for program monitoring and evaluation.- Assist in preparing reports on program progress, challenges, and outcomes.
Bachelor's degree in Business Administration, Education, or a related field.- Minimum of 3 years of experience in office management, administration, or a related role, preferably in the non-profit or education sector.
Kannada and English, professional levels are required.
- Local travel across the city to visit vendors, implement program.
Strong organizational and multitasking skills, with attention to detail.- Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with database management.
- Ability to work independently and as part of a team, with a proactive and problem-solving attitude.
Commitment to the mission and values of the organization.
Experience in financial management and budgeting.- Knowledge of HR policies and procedures.
Familiarity with monitoring and evaluation techniques in educational programs.
- Proficiency in Hindi, Marathi and English.
