Job Title: Office Assistant
Responsibilities
Office Monitoring:
- Maintain a presence in key areas of the office to monitor and ensure a secure and safe environment.
- Regularly check the office premises to ensure cleanliness and tidiness.
Site Inspection
- Conduct routine inspections of the office site, including common areas and workspaces.
- Report any maintenance or security issues promptly to the relevant authorities.
Access Control
- Monitor and control access to the office premises.
- Assist in maintaining an organized record of visitors and ensure they adhere to security protocols.
Supplies Management
- Keep track of office supplies and assist in inventory management.
- Notify the appropriate personnel when supplies need replenishing.
Assistance To Staff
- Assist in basic administrative tasks as directed by office staff.
- Distribute incoming mail and handle outgoing mail and packages.
- Provide support during meetings, including setting up conference rooms.
Security
Monitor and report any security concerns or unauthorized persons on the premises.
Ensure all doors and windows are securely locked after office hours.
Material Handling
Keep track of incoming and outgoing materials.
Assist in coordinating loading and unloading activities to ensure smooth operations.
Errands And Outdoor Tasks
Run occasional errands outside the office, such as banking or post office visits.
Qualifications And Skills
Assist in purchasing office supplies and other required items.
Minimum educational qualification: High school or equivalent.
Good communication skills.
Basic computer literacy.
Previous experience in a similar role is a plus but not mandatory.
Proactive and able to take initiative.
