The Office Assistant plays a key role in maintaining an efficient and organized office environment. This position involves a wide range of administrative duties, including handling correspondence, managing files, and supporting office staff with day-to-day tasks. The Office Assistant is often the first point of contact for visitors and clients, ensuring a professional and welcoming atmosphere.
Administrative Support:- Provide general administrative and clerical support, including mailing, scanning, faxing, and copying documents.
Assist with the preparation of reports, presentations, and other documents as needed.- Manage incoming and outgoing mail and packages, including sorting and distributing mail.
Communication and Coordination:- Answer and direct phone calls to appropriate staff members.
Greet visitors and clients in a professional and friendly manner.- Schedule and coordinate meetings, appointments, and conference calls.
File and Record Management:- Organize and maintain both electronic and physical files, ensuring easy retrieval and proper storage.
Perform data entry tasks and update office databases with accuracy.- Assist with document management, including filing, archiving, and shredding outdated documents.
