Job Description

The Office Administrator will be responsible for overseeing the day-to-day

administrative functions of the office. This role involves managing office supplies,

coordinating meetings and appointments, handling correspondence, and providing

administrative support to the team. The ideal candidate is highly organized, detail oriented,

and possesses excellent communication skills.
  • Key Responsibilities:
Administrative Support: Provide comprehensive administrative support to the office, including answering phone calls, managing emails, and handling correspondence.
  • Office Management: Maintain office supplies inventory, order supplies as needed, and ensure the office is well-organized and presentable.
Scheduling and Coordination: Schedule and coordinate meetings, appointments, and travel arrangements for team members.
  • Record Keeping: Maintain accurate and organized records of office activities, including client files, project documents, and employee records.
Communication: Serve as the point of contact for clients, vendors, and employees, ensuring effective communication and timely responses.
  • Financial Administration: Assist with basic financial tasks such as invoicing, expense reports, and budget tracking.
HR Support: Assist with onboarding new employees, maintaining employee records, and coordinating staff events and activities.
  • Project Support: Provide administrative support for interior design and construction projects, including preparing project documentation and coordinating with contractors and suppliers.
Technology and Systems: Manage office technology and systems, ensuring they are up-to-date and functioning properly.
  • Qualifications:
Education: High school diploma or equivalent; a degree in business administration or a related field is a plus.
  • Experience: Proven experience as an office administrator, office assistant, or similar role. Experience in the interior design or construction industry is advantageous.
  • Skills:

o Excellent organizational and multitasking abilities

o Strong written and verbal communication skills

o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

o Familiarity with office management procedures and basic accounting

principles

o Ability to work independently and as part of a team

o Attention to detail and problem-solving skills
