Reports to: Director
Responsible for overseeing the day-to-day administrative functions of the office. This role ensures smooth operations by managing office resources, maintaining office procedures, and providing support to staff and management.
Manage office supplies, inventory, and equipment maintenance.
- Ensure the office environment is organized, clean, and safe.
Handle office utilities, repairs, and maintenance.
Greet visitors, answer phone calls, and direct them to the appropriate personnel.- Handle incoming and outgoing mail, email, and other correspondence.
Prepare and maintain office documents, including reports, presentations, and spreadsheets.
- Scheduling and Coordination:
Schedule meetings, appointments, and office events.
- Coordinate travel arrangements and accommodations for staff.
Assist in organizing team activities and training sessions.
Maintain confidential employee files, office records, and client documents.- Manage data entry, filing, and archiving of important documents.
Ensure compliance with office policies and procedures.
Serve as the main point of contact for office-related inquiries.
- Distribute memos, emails, and other information to the team.
Liaise with vendors, suppliers, and contractors.
Handle basic bookkeeping, invoicing, and bill payments.- Assist with budgeting, expense tracking, and financial reporting.
Proven experience as an Office Administrator, Office Assistant, or similar role.- Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Familiarity with office management procedures and basic accounting principles.- Ability to work independently and handle confidential information with discretion.
- Education and Experience:
High school diploma or equivalent required; college degree in business administration or related field preferred.- 2+ years of experience in office administration or related roles.
