Job Description

Reports to: Director
  • Job Summary:

Responsible for overseeing the day-to-day administrative functions of the office. This role ensures smooth operations by managing office resources, maintaining office procedures, and providing support to staff and management.
  • Key Responsibilities:
  • Office Management:
Manage office supplies, inventory, and equipment maintenance.
  • Ensure the office environment is organized, clean, and safe.
Handle office utilities, repairs, and maintenance.
  • Administrative Support:
Greet visitors, answer phone calls, and direct them to the appropriate personnel.
  • Handle incoming and outgoing mail, email, and other correspondence.
Prepare and maintain office documents, including reports, presentations, and spreadsheets.
  • Scheduling and Coordination:
Schedule meetings, appointments, and office events.
  • Coordinate travel arrangements and accommodations for staff.
Assist in organizing team activities and training sessions.
  • Record Keeping:
Maintain confidential employee files, office records, and client documents.
  • Manage data entry, filing, and archiving of important documents.
Ensure compliance with office policies and procedures.
  • Communication:
Serve as the main point of contact for office-related inquiries.
  • Distribute memos, emails, and other information to the team.
Liaise with vendors, suppliers, and contractors.
  • Financial Tasks:
Handle basic bookkeeping, invoicing, and bill payments.
  • Assist with budgeting, expense tracking, and financial reporting.
  • Qualifications:
Proven experience as an Office Administrator, Office Assistant, or similar role.
  • Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
Familiarity with office management procedures and basic accounting principles.
  • Ability to work independently and handle confidential information with discretion.
  • Education and Experience:
High school diploma or equivalent required; college degree in business administration or related field preferred.
  • 2+ years of experience in office administration or related roles.
