JOB DESCRIPTION
Responsibilities :
- Maintain our office environment, including hygiene, lighting, furniture, safety, sanitation and confidentiality.
- Ensure cleanliness and maintenance of the office
- Record staff members attendance and leave records accurately.
- Manage leaves taken by staff members and process leave applications.
- Responsible for opening and closing the office premises and managing office keys with utmost care for employees, clients information & documents and all types of company properties.
- Manage inventory and distribution of printed stationery, coordinating with the Head Office.
- Arrange facility services for guests and staff, including coffee, tea, and water.
- Select service providers on competitive terms in coordination and approval of Head Office.
- Monitor stock levels, place orders, and verify supply of office requisites.
- Coordinate with outsourced services such as courier, speed post, and drinking water.
- Collect B2B data to support business development functions.
- Verify bills before forwarding them to the accounts department.
- Manage commercial licenses relevant to office operations.
- Maintain office automation systems and ensure prompt service maintenance.
- Ensure availability of first-aid supplies.
Data & Document Process:
- Computer operations; Complete data entry and process tasks promptly within the pre-set time limits using the Process Management System (PMS).
- Regularly check and manage emails, forwarding them to the respective heads and sending emails to clients with appropriate content.
- Communicate and coordinate with team members for required information accurately within the set turn-around-time.
- Verify, upload, scan and process applications/assignments accurately and in a timely manner from your location to Head Office.
- Draft and prepare various documents in accordance with the required format and ensure proper presentation.
- Maintain records of all received and dispatched soft copies at the desk.
- Submit a daily time-task report by the end of the day.
