Responsibilities:
- Facilities Management - Keep stock of office supplies and place orders when necessary. Maintenance of power, network(LAN/Wi-Fi), water, furniture, air conditioning, lighting, cafeteria equipment etc., at the offices. Manage team of housekeeping staff and ensuring proper office facilities. Procure office consumables, negotiate for best price and release POs as per approvals.
- Travel Management - Arrange travel and accommodations. Coordinate and manage appointments, meetings, and the conference room schedule in order to prevent duplicate bookings. Welcome visitors and direct them to the relevant office/personnel.
- Vendor Management - Source vendors, obtain quotes, negotiate contracts, manage relationships. Manage delivery of corporate gifts, materials, and other items to employees through vendors. Assist for corporate services and handle admin tasks assigned by the marketing from time to time.
- Helpdesk Management - Manage and address administrative inquiries submitted through the HRMS tool
- Asset Management - Manage and control the organization's IT assets (i.e., hardware) throughout their life cycle, from acquisition through final disposition.
- IT Infrastructure - Procure, maintain, repair, and upgrade the operating system including hardware and software. Ensuring working condition of all IT equipment at offices and home.
- Bookkeeping - Keep records of the expenses and perform tasks such as invoicing, monitoring accounts receivable, and budget tracking.
- Database Management - Organize and maintain personnel records. Update internal databases. Maintaining general office files, including job files, vendor files, and other files related to the company's operations.
Who we're looking for:
- 7+ years of experience in office administration
- Bachelor's degree preferably HR, IT, BCA, MCA
- Computer literacy (MS Office applications, MS excel, and Google sheets in particular)
- Must have experience in handling/troubleshooting IT hardware related issues.
- Able to handle pressure and high-velocity task handling.
- Superb time management and organizational skills.
- Exceptional interpersonal, communication, negotiation, presentation and collaboration abilities. Great problem-solving and analytical skills.
- Availability to resolve operational issues outside of business hours. Proven ability to communicate effectively verbally and in writing.
- Significant emphasis on human development and cultural building.
- Willing to participate in constructive and positive dialogue with colleagues while taking action.
