Job Title: Deputy Manager Maintenance, Campus Administration

Location: Ashoka University, Plot No.02, Rajiv Gandhi Education, Rai, Sonipat

Key Responsibilities:
Supervision:
- Supervise and coordinate the activities of the maintenance staff, including electricians, plumbers, HVAC technicians, carpenters, and civil staffs.
- Day today Low side Maintenance which includes Painting, Polishing, Replacement of daily wear and tear.
- Assign daily work tasks and ensure timely completion of all maintenance requests.
- Provide training and guidance to the team on best practices, safety standards, and equipment handling.
- Conduct regular inspections of Classrooms, Lecture Rooms, Washrooms, Important Meeting and Conference Rooms and common areas to identify the Snags and ensure to de-snag within the TAT.
- Ensure all equipment is functioning efficiently and plan for replacements or upgrades when necessary.
Facility Repairs and Upkeep:
- Oversee the repair and maintenance of all university buildings and structures, including plumbing, electrical, and mechanical systems.
- Ensure that all repairs are conducted in a timely and cost-effective manner while minimizing disruptions to campus activities.
- Manage emergency repairs and coordinate with the Maintenance Team and also at times with the external contractors if required.
Safety and Compliance:
- Ensure that all maintenance activities are conducted in accordance with university safety regulations, building codes, and industry standards.
- Maintain records of inspections, certifications, and maintenance logs for compliance purposes.
- Implement safety training programs for the maintenance staff and ensure adherence to health and safety protocols.
Budget and Resource Management:
- Assist in the preparation of the Daily maintenance budget and manage expenditures related to repairs, equipment purchases, and contractor services.
- Source and order materials, tools, and equipment as needed, ensuring cost-effectiveness and timely delivery.
- Manage vendor relationships and negotiate contracts for services and supplies.
Coordination with Other Departments:
- Collaborate with academic, administrative, and residential departments to schedule maintenance activities that minimize disruption to university operations.
- Coordinate with event management teams to ensure that facilities are ready and properly maintained for special events, conferences, and functions.
Record Keeping and Reporting:
- Maintain records of all maintenance activities, including work orders, equipment manuals, repair histories, and inventory.
- Generate regular reports on the status of university facilities, maintenance progress, and potential future needs.
- Assist the Head of Facilities Management in strategic planning for long-term maintenance and upgrades.
Educational Qualifications
- Bachelor's Degree in Engineering (preferably in Mechanical, Electrical, or Civil Engineering).
- Alternatively, a Diploma in Engineering with extensive hands-on experience (8+ years) in facilities and maintenance management in a similar environment, such as universities, hospitals, or large corporate campuses, may be considered.
- Certification in Facilities Management (e.g., IFMA Certified Facility Manager (CFM), FMP) or Building Maintenance Management is an advantage
Professional Experience
- Minimum of 6 years of experience in facilities or maintenance management, with a proven track record in supervising and managing a team of technicians across disciplines (electrical, plumbing, HVAC, carpentry, etc.).
- Experience in Higher Education or large campus settings is preferred, with an understanding of managing diverse facility needs for classrooms, residential areas, conference rooms, etc.
Technical Skills
- Proficiency in Maintenance Management Systems (e.g., CMMS software) for tracking work orders, inventory, and maintenance logs.
- Strong technical knowledge of building systems, including HVAC, plumbing, electrical, and carpentry, with hands-on troubleshooting capabilities.
- Familiarity with safety protocols and building codes, with the ability to ensure compliance with university safety regulations.
- Basic knowledge of budgeting and financial management related to maintenance, including managing expenditures, resource allocation, and cost-saving initiatives.
