Job Description

  • As a Lobby Assistant, you will be responsible for ensuring the smooth operation of the lobby area in a professional and welcoming manner
  • Your primary duties will include greeting visitors, answering inquiries, and providing information about the organization or facility
  • You will also assist with administrative tasks and support various departments as needed

Responsibilities:

  • Greet Visitors: Welcome guests as they enter the lobby area, provide directions, and assist with any immediate needs
  • Answer Inquiries: Respond to inquiries from visitors regarding the organization, services, or facilities
  • Provide accurate information and direct inquiries to the appropriate departments or personnel
  • Provide Information: Offer information about ongoing events, programs, or services offered by the organization
  • Maintain a thorough understanding of the organization's offerings to effectively assist visitors
  • Administrative Support: Assist with administrative tasks such as answering phones, sorting mail, and managing schedules
  • Provide support to various departments with tasks including data entry, filing, and document preparation
  • Maintain Lobby Appearance: Ensure that the lobby area is clean, organized, and presentable at all times
  • Monitor and replenish supplies such as brochures, informational materials, and refreshments
  • Security Monitoring: Monitor the lobby area for any suspicious activity and report any concerns to security or management
  • Enforce security protocols and procedures to maintain a safe environment for visitors and staff
  • Assist with Special Events: Support the planning and execution of special events or meetings held in the lobby area
  • Coordinate logistics, greet attendees, and provide assistance as needed during events
  • Customer Service: Provide exceptional customer service to all visitors by addressing their needs promptly and professionally
  • Handle complaints or concerns in a calm and courteous manner, escalating issues to management when necessary
