JD - Lead, Facilities & Infra
In the role of the Lead, Facilities & Infra, the person shall report to Manager, Facilities & Infra and engage in a scope of work spanning diligent handling of various operational, and administrative aspects relating to the broad Key Result Areas (KRAs) covering: Facilities Management, Utilities and Maintenance, Vendor Management and Project Management.
Position & Designation
Grade - Sr. Associate
The Lead, Facilities & Infra shall be designated in Forge at the grade of Sr. Associate and shall be responsible for entire facilities management, utilities management and project management with respect to civil works and vendor management related to the infrastructure. The company expects the incumbent in this role to emerge as a strong candidate for being considered for the role and position of Manager, Facilities & Infra in the grade of Manager within 18-24 months by delivering strong performance and demonstrating significant growth.
Compensation
Forge compensation is at par with the top end of the social enterprises sector in India and continuously benchmarked to be above the average compensation offered in the social (non-commercial or development) sector in general but significantly above the average compensation offered by TBIs.
The Total CTC will include 3 major components namely, Fixed Monthly Gross, Fixed Quarterly Payout, and Annual Development Bonus (linked to demonstration of progress on developing and strengthening capabilities in alignment with the Career Advancement and Capabilities Development framework of Forge).
Role & Responsibilities
#1 Facilities Management
- Daily inspection of entire premises for cleanliness and hygiene and take corrective actions as and when required;
Supervising multi-disciplinary teams of staff including cleaning, maintenance, grounds and security;
- Coordination between vendor and accounts team for timely receipt of materials and timely releasing of vendor payment, checking on maintenance of other office assets and consumables (photocopier, printer, pantry items, furniture and fixtures, fire extinguishers, etc);
- Maintenance of annual maintenance contracts for all the utilities and lab equipments, AMC and renewal of license, contracts, agreements and regulatory/statutory approvals on timely basis;
- Responsible for direct end-to-end management and supervision of the entire scope of facilities management;
#2 Utilities and Maintenance
- Plan, coordinate and oversee all the commercial transactions of installations (telecommunications, HVAC, Electric appliances & connections etc.), and supervise all utilities including D.G.Sets, HVAC, AHU Units, UPS etc.;
- Administer the upkeep of equipment and supplies to meet health and safety standards of security systems/ fire protection systems etc.;
- Define and monitor the training on safety practices & security systems to subordinates by the Facilities supervisor;
- Review utilities consumption and strive to minimize costs;
- Ensuring the office is stocked with necessary supplies for Pantry, Stationery, housekeeping materials etc.,
- Plan and manage facility central services such as office stationery, security, housekeeping, waste disposal and parking;
- Ensure office equipments are properly maintained and serviced;
#3 Vendor Management
- Identify potential vendors to avail best pricing and product/service at preferred quality for the exhaustive scope of goods and services covered under the plan for Utilities & Maintenance required ;
- Responsible for vendor evaluation and selection after rigorous assessment of the products/services, price negotiation, structuring and execution of supplier contracts, delivery and commissioning of goods and services, monitoring of support and maintenance services offered by vendors as per the agreed SLAs, conduct of periodic audits to ascertain quality/quantity checks, and all forms of engagement and communication as may be required to ensure smooth process overall;
- Developing and sustaining long-term contracts combined with company-approved vendors towards the Supply and Services of Housekeeping Services, Infrastructure Facilities, F&B, Stationery etc. resulting in significant cost savings for the company;
- Constantly monitor trends and undertake competitive benchmarking to identify better products and services at cost effective procurement contracts;
- Implementation of the Tender process for vendor selection to ensure that the best vendors are selected quoting least price;
- Establishing standards to assess the performance of approved vendors and suppliers;
- Continuously monitor and assess the vendor performance and take corrective action as and when required;
#4 Project Management for the establishment of new centres and expansion of existing centres
- Ensure the completion of all the civil and interior works on-time as per desired project plan;
- Closely review and monitor the work progress at each centre and provide timely updates to Forge management.
