Job Description

Company Description : Qeni is an integrated communications and conference management agency that creates immersive and engaging experiences in a virtual, physical or hybrid environment. Our creative services range from designing POS campaigns to digital and video experiences. We partner with clients to connect businesses with employees and customers in authentic and meaningful ways.

Role Description :

  • Event Planning - Collaborate with clients or stakeholders to understand their event objectives and requirements, Create event production plans and timelines, Determine the event's scope, budget, and logistics, select and secure vendors, Branding and Infrastructure Production, audio-visual, Manpower and Logistics, Develop and manage event budgets.
  • Vendor Management - Hire and coordinate vendors and suppliers, Negotiate contracts and agreements with vendors, Ensure all vendors meet the event's technical and logistical requirements, Supervise and manage vendor relationships and performance.
  • Logistics and Operations - Oversee event setup, including stage design, lighting, sound, and technical equipment, Coordinate transportation and accommodation for staff and performers if necessary, Develop and implement contingency plans for unforeseen issues, Manage event staffing, including hiring and supervising event staff, security, and volunteers.
  • Technical Production - Ensure all technical aspects of the event run smoothly, including sound, lighting, and AV equipment, Collaborate with technical teams to address any technical issues that may arise during the event, Conduct technical rehearsals to ensure everything works as planned.
  • Safety and Compliance - Ensure compliance with safety regulations and permits, including fire codes and health regulations, Implement emergency response plans and coordinate with relevant authorities, Address any potential safety concerns or risks during the event.
  • On-Site Management - Be present on-site during the event to oversee all aspects of production and execution, Resolve any issues that arise during the event, making quick and informed decisions, Communicate with event staff and vendors to ensure a seamless event experience.
  • Budget and Financial Management - Monitor and manage the event budget, Tracking expenses and revenue, Ensure that the event remains within budget and identify cost-saving opportunities.
  • Post-Event Evaluation - Evaluate the event's success by gathering feedback from clients, attendees, and staff. Create post-event reports and analyse key performance metrics. Identify areas for improvement and suggest changes for future events.
  • Documentation and Reporting - Maintain detailed records of all event-related activities, contracts, and expenses, Provide reports and documentation to clients or stakeholders.

Qualifications

  • Bachelor's degree in Event Management, Hospitality, Marketing, or a related field (preferred).
  • Proven experience in corporate event planning and detailing, typically 3+ years.
  • Strong project management and organizational skills.
  • Exceptional attention to detail and a creative mindset.
  • Excellent communication in English ,Hindi & Malayalam.
  • Strong network of vendor relationships and industry knowledge.
  • Proficiency in event management software and tools.
  • Negotiation skills .
