Job Description:

We are seeking a skilled and adaptable Office Administrator to join our team at mCaffeine. In this role, you will be responsible for a wide range of administrative tasks while also providing technical support for our IT infrastructure. Your expertise will be crucial in ensuring the smooth operation of our office environment.

Responsibilities:

Administrative Support:

  • Provide general administrative support to the management team and staff, scheduling appointments, and handling correspondence.
  • Assist with document preparation, filing, and data entry tasks.

IT Support:

  • Troubleshoot technical issues and provide support to staff regarding hardware, software, networks, and systems.
  • Install, configure, and maintain computer systems, software applications, and peripherals.
  • Manage user accounts and permissions, ensuring data security and confidentiality.
  • Oversee the maintenance and optimization of IT infrastructure, including servers, network devices, and telecommunications systems.
  • Coordinate with external IT vendors for procurement, maintenance, and repairs.

Office Supplies and Facilities Management:

  • Manage inventory of office supplies, stationery, and equipment. Ensure adequate stock levels are maintained.
  • Coordinate with vendors, facility maintenance and repairs as needed.
  • Synchronizing with facility staff on keeping the premises available to operate as need be.

Travel desk & Event Coordination:

  • Assist with planning and organizing company events, including meetings, conferences, and social gatherings.
  • Coordinate event logistics, such as venue booking, catering, audiovisual equipment, and transportation.
  • Administer to domestic & international travel bookings consequently attending to the accommodations, local conveyance & food arrangements, if need be.

Financial Administration:

  • Assist with basic financial tasks such as invoicing, processing payments, and reconciling expenses. Work closely with the finance department to ensure accuracy and compliance.

Skills & Experience:

  • Prior experience in office administration and facilities management is mandatory.
  • Strong IT skills, including basic hardware/software troubleshooting, network administration, and cybersecurity.
  • Manage travels itineraries would be a major plus
  • Excellent organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Ability to prioritize tasks and work effectively under pressure.
  • Strong problem-solving skills and attention to detail.
  • Effective communication and interpersonal skills.
