Job Description

Your future role & Job Purpose:

The role holder is responsible for providing the full range of administrative and functional support services for various human resources services including governmental relations, payroll & transactions and employee relations. Expected to perform a more complex and sensitive manner with minimum guidance and to lead junior/senior administrative staff in delivering HR functional support services in their area.

Key Accountabilities

  • Responsible for planning, developing, modifying and improving the existing payroll system to meet payroll requirements.
  • Maintains payroll required operations by following policies and procedures; reporting needed changes
  • Responsible to correspond to various banks for any bank related transactions affecting any employee of the company
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages
  • Resolves payroll discrepancies by collecting and analyzing information
  • Ensures accurate Reconciliation and checks the monthly accruals for the end of service award, vacation compensation and ticket entitlement.
  • Manage end-to-end procedures related to end of employment in line with the labor law requirements in on events of resignation, death, termination due to absence, retirement age, termination of contract, etc. and ensures proper action in all such cases based on the labor law and IMIs regulations
  • Execute the delivery of all HR services required to employees relating to security clearance, time and attendance, leave management, health and insurance, end of service, and employees references and oversee services data storage
  • Create proper and accurate data for all management, maintenance and validation of all employee records to facilitate employees information outsourcing in the future
  • Support in carrying out all government related processes such as visas, passport renewal, Iqamas, licenses and follows up to ensure efficient turnaround/processing
  • Keep abreast with changes in regulatory guidelines and procedures with respect to visa issuance, Iqama issuance, passport renewal, obtaining licenses in order to ensure smooth procedural implementation of these requests
  • Provide Support in conducting workplace complaints Investigation which violate any of the current policies and escalade any failure investigations with high impact to legal or financial Managers.
  • Respond to received inquiries from employees and managers that relates to employment practices, policies, employment laws following the compliance guidelines
  • Supports the key processes in their assigned area performing such duties as the distribution, follow-up, and the close-out of documents, forms, and applications for personnel actions. Processes personnel actions through the ERP system.
  • Maintains and updates all confidential personnel records within their functional area of responsibility.
  • Ensures the accuracy and completeness of all documents, forms, and requests submitted.
  • Handles routine inquiries, replies to verbal and written requests for information over the phone, through Email, ERP systems. Communicates basic information to affected parties as required.
  • knowledge of all the procedures, systems, and practices in their assigned area and an advanced understanding of the procedures and systems in other related areas

Who we are looking for:

Experience: At least 3-9 years of relevant experience.

Education: Bachelors degree in human resources, Business Administration, Economics, Finance, Accounting, MIS/IT, or equivalent

Competencies (Knowledge, Skills & Abilities)

  • The employee must have a thorough knowledge of the Human Resource policies, systems, and procedures as they relate to the area of assignment.
  • Decision making & team working, and ability to work under pressure.
  • Solid understanding of MS Office, and data processing.
  • Accountability - Commits to business objectives.
  • High level of integrity and ethical behavior.
  • Excellent time management skills.
  • Analysis skills

Language: Thoroughly proficient in both verbal and written English and Arabic
