JOB SUMMARY
HR Manager is a critical role in the HR Management function at AIFT. The role will involve collaborating effectively with people at all job levels and interacting with a diverse group of individuals and personalities to ensure the achievement of organizational goals and drive the HR agenda.
You must be passionate about engaging with each employee and you must have experience in handling the various facets of HR functions especially recruitment, onboarding & induction, employee life cycle management, internal communication, and statutory compliances.

KEY RESPONSIBILITIES: Here are the key responsibilities, but not limited to:
Talent Acquisition:
- Support in the forecasting and staff planning at the National Level.
- Manage onboarding for all staff roles above Managerial grade at the National & Regional Levels. This includes negotiating salaries, conducting reference checks and background verifications, offering roles, post-offer follow-ups, and onboarding.
- Collaborate with Regional HR for campus partnerships and campus engagements.
- Support the design & execution of AIFT's Internship program in the region.
- Be the SPOC for Org-level & department-level audits and reviews.
- Collation of organization-wide details of recruitment via MIS and Dashboard for monthly update in Board Dashboard
- Support in building guidelines to Design job descriptions including designing structures, framing of responsibilities, nomenclatures, Title management, and Maintaining a JD bank, etc.
- Support in the adoption of ATS for all recruitment activities.
- Support Regional HR for internal staff & consultants redeployment across projects & regions.
- Support in implementing & enforcing policies & practices within the region.
ERP and Human Resource Information Systems:
- Ensure smooth operation of the Human Resources Information System (HRIS Database) and filing systems (physical + digital).
- Maintain an updated library of job descriptions and candidate database.
- Ensure all details of consultants, staff, interns & volunteers files are up-to-date in a central repository in physical & digital formats.
- Support the development, adoption, and implementation of HR modules for HRMS, ATS, SOPs, and SLAs.
- Manage, monitor, and control utilization & access of emails to staff & consultants at the National Level.
Talent Management:
- Facilitate effective and efficient onboarding, induction, and orientation for all new recruits (all types of employment) as per National HR protocols.
- Ensure every staff has a contract/employment letter on the day of joining.
- Manage the complete life cycle of staff, from joining to exit (including onboarding, probation, transfer & growth) ensuring 100% compliance with internal HR practices and statutory requirements as per National HR guidelines.
- Manage the time, attendance & leaves system, and records at National.
- Maintain & process payroll inputs timely. Provide inputs to Finance teams for payroll processing of staff.
- Support in the collation of performance appraisals of staff at the National level.
- Manage timely completion of contract renewal, performance review and any change of engagement terms for staff at National Level.
- Support in collating training and career development needs and implementing plans
- Manage Insurance process, claim support, and monthly insurance process (including data updates) for all staff, consultants & volunteers/ interns at the National Level. Collect & update for endorsements on a monthly basis.
- Assist the National Procurement & Administration team in issuing ID cards & visiting cards as needed.
- Implement initiatives to improve communication and work efficiency for regional HR.
- Act as the custodian of the National HR databases, data, reports, notices, and records.
- Ensure effective day-to-day HR operations at the National office, addressing operational issues promptly and accurately.
- Ensure completion of the Separation process and documentation of all staff with timely closure of experience, relieving letters & full final settlements within 03 days of exit.
- Conduct exit interviews and facilitate relieving processes smoothly as per the process.
- Gather feedback on HR support and systems at the national office and implement necessary improvements.
- Troubleshoot, counsel, and sensitize regional HR on org-wide HR policies and procedures.
- Collaborate to align regional HR needs with organizational practices.
- Support the development and implementation of new HR initiatives and systems such as HR Policy Manual, HR surveys, Board Updates on HR metrics, GPTW support, HR surveys etc, on a need basis.
- Uptake staff well-being initiatives on a demand-and-need basis with due protocols.
Compliance: Laws & AIFT's regulations
- Ensure staff & consultants are sensitized on all mandatory HR policies especially POSH, Child protection, Code of Ethics etc. with records for auditory purposes.
- Maintain leave & attendance records timely and accurately for all National office staff.
- Ensure legal/statutory compliance across the organization w.r.t all applicable labor laws & amendments including but not limited to ASH, PoSH, Child Protection, Maternity, ESIC, EPFO, wage codes, etc.
- Review, track, and recommend changes to salaries based on changes to minimum wages across states proactively. Seek appropriate approvals and execute changes timely. Maintain robust records.
- Ensure internal compliance w.r.t HR policies & practices including HR Manual based policies, Anti-discrimination, Equal Opportunity, Gender, DEI, Anti-bribery, Anti-corruption, Grievance redressals, Whistleblowing, and any other policies.
- Conduct periodic HR process audits to be conducted.
- Support for disciplinary and Grievance issues for staff grievances in close coordination with the Senior Manager HR & Director-HR.
Qualifications & Experience:
- Master's degree in Human Resource Development/Management /Industrial Relations from a reputed university/ institute.
- 8-10 years of experience in a mid to senior-level HR role preferably within the NGO sector, demonstrating proficiency in handling HR operations.
