Scope:

The HR Coordinator will assist with the administration of the day-to-day operations of the Human Resources functions and duties across the Asia Pacific Region (key countries include India, Japan, Australia, Singapore and China). The main administrative duties include a breadth of HR activities: maintaining employee records via the HR system, managing HR electronic documentation, and updating internal databases.

Responsibilities

  • Prepares offer letters, employment contracts and new hire packs. Notifies required personnel of hires per department SOP's.
  • Performs employee orientation with new employees, verifies employee forms are completed, and answers general questions and supports onboarding activities.
  • Updates all HR systems for all new hires, leavers and changes and ensures accurate and up to date records.
  • Takes ownership for Data Management in HRIS Systems (Oracle HCM and ADP).
  • Organizes, maintains and files employee records via the HR system.
  • Sends out employee notifications related to new hires, terminations, promotions, address change, name changes etc. to payroll and all relevant Stakeholders.
  • Creates all documentation for changes, leavers and terminations (off boarding)
  • Creates all paperwork for Severance Packages/Reductions in Force
  • Creates all documentation related to promotion / change processes, helping HR colleagues with required documentation and approvals.
  • Drafts communications on announcements like promotions, role changes, organizational changes etc.
  • Maintains and keeps up to date the Employee Handbook for all countries in Asia Pacific.
  • Runs reports from HRIS when needed.
  • Maintains and prepares HR reports/spreadsheets / dashboards and helps with data analysis.
  • Answers employee questions about HR related queries.
  • Provides support with compliance management activities.
  • Provides support with internal and external audits when needed.
  • Participates in HR Projects and initiatives, both at global and regional level.
  • Performs various HR administrative functions. Support employee motivational events, engagement events.
  • Proactively identifies areas of improvement, agrees plan with line manager and works to implement.
  • Other responsibilities as assigned.

  • Able to look for solutions and has problem solving capabilities.
  • Ability to work with highly confidential data in a professional manner. Demonstrated ability to handle sensitive information and situations with tact, courtesy, and confidentiality.
  • Ability to organize, prioritize and handle several different tasks and assignments simultaneously.
  • Detail orientated with a high level of awareness of accuracy.
  • Ability to form strong partnerships with customer groups. Able to establish and maintain effective working relationships with individuals at all organizational levels.
  • Knowledge of employee recruitment and employment principles, procedures, standards, and documentation.
  • Ability to provide on-the-job and technical guidance and training to staff.
  • Broad knowledge and understanding of HR transactions and procedures to enable review of accuracy and completeness of documents submitted.
  • Ability to interpret and communicate HR policies, procedures, and programs.
  • Must have the ability to make recommendation to effectively resolve problems or issues, by using judgment that is in consistent with standards, practices, policies, procedures, regulation, or government law.
  • Strong oral and written communication skills
  • Must be proficient in Microsoft Office
  • Works well with other to help navigate the organization and answer queries.
  • Ability to learn and master new computer systems/software.
  • Strong critical thinking and problem-solving skills

Education:


  • Bachelor's Degree Required (Business, Human Resources, Management, or other related)
  • Some knowledge of employment laws including knowledge of all standards, government occupational health and environmental regulations and statutes related to the Asia Pacific Countries is an added advantage.
