Job Description

Company Overview:

CIMET provides end-to-end comparison and signup solutions for energy and telecommunication plans in a B2B and B2C environment. Serving over 25 Energy and Broadband Providers and more than 30 white label and co-branded partners, CIMET has developed a fully integrated online comparison and signup platform. CIMET's partnership with iSelect, which holds a 49% stake in CIMET Holdings, has fuelled expansion into new product lines such as Credit Cards, Home Loans, Car Loans, Personal Loans, Life insurance, Health Insurance, and Pet Insurance. Currently, CIMET has around 150 team members across Australia, India, and the Philippines, with plans to double this number over the next two years.

Purpose of the Position:

The primary purpose of this role is to provide comprehensive administrative support to the HR Team. This position involves managing daily operations and assisting the HR Manager with various tasks. As CIMET is a rapidly growing start-up, the ideal candidate should be adaptable and comfortable working in a dynamic environment, providing support wherever needed.

Job Responsibilities:

Oversee administrative and HR operations, including office management, facility management, vendor management, and database management.

Assist with employee documentation tasks such as filing, printing, organizing, compiling, and updating company records.

Coordinate employee events, manage announcements and circulars, and maintain up-to-date employee databases.

Support employee engagement initiatives by preparing the engagement calendar, generating creative ideas for activities, and managing the event budget in coordination with the HR Team.

Manage the HR inbox daily, addressing first-level inquiries or escalating them to the HR Manager as necessary.

Ensure line managers adhere to onboarding and offboarding processes by completing and submitting required checklists and forms.

Maintain and oversee the employee lifecycle process.

Establish and communicate office processes and practices to employees.

Undertake ad-hoc HR projects as required.

Conduct onboarding for new joiners.

Coordinate with pantry staff, housekeeping personnel, and security guards, managing their attendance and daily, weekly, and monthly tasks.

Arrange and maintain housekeeping essentials, pantry items, and office supplies as needed.

Monitor inventory levels for office supplies and break room items, placing orders or making purchases when necessary, and managing stock levels.

Handle petty cash responsibly.

Review office expenditures to identify cost-saving opportunities and adjust purchasing decisions accordingly.

Manage bookings for meeting rooms, hotel arrangements for visitors, and reconcile related purchases.

Address employee concerns regarding facilities and supplies, coordinating resolutions and providing updates.

Maintain the overall upkeep of the premises with a professional and welcoming demeanor.

Ensure office security by monitoring the logbook, issuing visitor badges, and conducting routine safety and security checks using a standardized checklist.

Capabilities/Competencies:

Experience in a fast-paced environment.

Strong organizational skills with the ability to prioritize multiple tasks from various sources.

Pragmatic, hands-on approach with the capability to develop and implement office processes and practices.

High attention to detail.

Excellent verbal and written communication skills.

Proficiency in MS Office, particularly Outlook, Excel, and PowerPoint.

Ability to manage sensitive data and information with confidentiality.

Knowledge of industrial regulations and legislation.

Familiarity with IT technology and social media platforms.

Extensive knowledge of HR best practices and processes.

Qualifications, Experience, & Capabilities:

A degree in Human Resource Management, Business Administration, or a related field.

6 months to 1.5 years of experience in a similar role is desirable.
