Job Description:
As a Front Office Executive, you will be the face of Shilton Hospitality LLP and serve as the first point of contact for clients, visitors, and employees. You will manage front desk operations, answer calls, coordinate appointments, and assist with administrative tasks to ensure smooth day-to-day operations. This role requires excellent communication skills, a customer-oriented attitude, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Greet and welcome visitors, clients, and employees in a professional, friendly, and efficient manner.
- Answer and direct phone calls, emails, and other inquiries to the appropriate departments or personnel.
- Manage the front office reception area, ensuring it is neat, organized, and welcoming at all times.
- Schedule appointments, meetings, and conference room bookings for staff and clients.
- Maintain office supplies inventory, ordering replacements as needed.
- Assist with administrative tasks such as filing, data entry, and preparing documents.
- Coordinate and assist with office events, visitor arrangements, and company meetings.
- Support HR and other departments with clerical duties as required.
- Ensure the smooth and efficient operation of the front office and office equipment.
- Maintain confidentiality and handle sensitive information with discretion.
Qualifications:
- Proven experience as a Front Office Executive, Receptionist, or similar customer-facing role (1-3 years preferred).
- Strong verbal and written communication skills.
- Professional phone etiquette and a friendly, approachable demeanor.
- Ability to manage time effectively and multitask in a busy environment.
- Strong organizational and administrative skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- A positive attitude and willingness to assist others.
- A high school diploma or equivalent (Bachelor's degree preferred).
