Responsibilities:
1. Welcome guests and visitors with a warm and friendly demeanor, ensuring they feel valued and attended to from the moment they arrive.
2. Answer and screen incoming phone calls promptly and professionally, transferring them to the appropriate department or individual as needed.
3. Maintain a tidy and inviting reception area, including organizing reading materials and ensuring all displays are up to date.
4. Manage incoming and outgoing mail, packages, and deliveries efficiently, ensuring they reach the intended recipients in a timely manner.
5. Schedule appointments, meetings, and conference room reservations accurately, utilizing organizational tools and calendars.
6. Provide administrative support such as typing, filing, photocopying, and data entry as requested by management or team members.
7. Assist with special projects or events, including coordination of catering, room setup, and guest accommodations.
8. Handle inquiries and requests from clients, employees, and vendors courteously and efficiently, offering assistance or guidance as needed.
9. Uphold confidentiality and discretion when handling sensitive information or situations.
Requirements:
1. experienced in a customer-facing role, preferably in a front office or receptionist capacity.
2. Exceptional communication skills, both verbal and written, with a professional and polished demeanor.
3. Impeccable grooming and presentation, projecting a positive and professional image at all times.
4. Strong organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
5. High school diploma or equivalent; additional education or training in office administration is a plus.
6. Ability to remain calm and composed under pressure, with a solution-oriented approach to problem-solving.
7. Enthusiastic team player with a willingness to assist colleagues and contribute to the overall success of the organization.
