Job Description

Overview

As a Front Office Executive in a medical setting, you will be the first point of contact for patients and visitors, playing a crucial role in providing a positive experience and ensuring the smooth operation of the front office. Your responsibilities will include managing appointment scheduling, handling patient inquiries, maintaining medical records, and facilitating effective communication between patients, medical staff, and administrative personnel.

Key responsibilities

  • Greet and assist patients and visitors in a courteous and professional manner
  • Manage appointment scheduling and follow-up, ensuring efficient use of medical staff's time
  • Answer and direct phone calls, taking and relaying messages as needed
  • Maintain patient records and ensure accuracy and confidentiality of all patient information
  • Handle patient inquiries, providing information about services, appointments, and general inquiries
  • Collaborate with medical staff and administrative team to ensure seamless patient flow and service delivery
  • Process billing and insurance information accurately and efficiently
  • Maintain cleanliness and organization of the front office area
  • Assist with administrative tasks such as data entry, filing, and inventory management
  • Adhere to regulatory and compliance guidelines in all front office activities

Required Qualifications

  • High school diploma or equivalent; additional certification in healthcare administration is a plus
  • Proven experience as a front office executive or similar role, preferably in a medical setting
  • Familiarity with medical terminology and healthcare operations
  • Proficiency in using healthcare software and electronic medical records (EMR) systems
  • Strong communication and interpersonal skills, with the ability to interact effectively with patients, staff, and visitors
  • Excellent organizational and multitasking abilities in a fast-paced environment
  • Attention to detail and commitment to maintaining patient confidentiality
  • Ability to remain calm and professional under pressure
  • Understanding of medical billing and insurance procedures
  • Willingness to adhere to all regulatory and compliance requirements in a healthcare setting
