Job Description: Front Office Executive - Event Management Company- Position: Front Office Executive
The Front Office Executive will serve as the first point of contact for visitors and clients (via calls), handling all front desk duties. This role requires excellent communication skills, a proactive approach to managing office tasks, and the ability to assist in event management activities. Driving skills for both two-wheelers (2W) and four-wheelers (4W) are essential for running errands and managing logistics.
Reception and Communication: Greet and welcome visitors and clients in a professional manner.
Answer and direct phone calls to appropriate departments or individuals.
Handle incoming and outgoing correspondence, including mail and courier services.
- Attendance and Time Keeping:
Maintain accurate attendance records for all employees.
Monitor and manage the office's time-keeping system, ensuring timely and accurate reporting.
Opening and closing of Office.
Manage office supplies, assets and inventory; handle purchases and restocking as needed.
Ensure that office equipment is functioning properly, and arrange for repairs and maintenance when necessary.
Handle printing, photocopying, and document filing tasks.
Tele calling (as required).
Coordinating office upkeep with housekeeping.
Assist the event management team with logistical support during events.
Participate in pre-event preparations, on-site event management, and post-event activities as required.
Coordinate transportation, set-up, and other logistics for events.
Drive company vehicles (both 2W and 4W) for various errands such as purchasing supplies, delivering documents, or picking up materials.
Assist with any ad-hoc tasks or errands as assigned by the management.
High school diploma or equivalent; additional qualifications in office management or related fields are a plus.
Fluency in English & Malayalam.
Proficient in MS Office (Word, Excel, PowerPoint) and basic office equipment.
Valid driving license for both two-wheelers and four-wheelers.
Prior experience in front office or administrative roles, preferably within the event management industry.
Office-based with occasional travel for events and errands.
May require working extended hours or weekends during peak event seasons.
