Job Summary:
The Front Office Receptionist/Coordinator is responsible for managing the reception area, providing excellent customer service, and ensuring smooth day-to-day operations. This role serves as the first point of contact for visitors, clients, and employees, representing the company with professionalism and efficiency.
Key Responsibilities:
- Greeting and Welcoming Visitors:
- Greet visitors and clients in a friendly and professional manner.
- Provide necessary information and direct them to appropriate personnel or departments.
- Answering and Managing Phone Calls:
- Handle incoming calls, transfer calls to relevant staff, and take accurate messages.
- Address inquiries and provide information as needed.
- Handling Correspondence:
- Manage and distribute incoming and outgoing mail and packages.
- Prepare and send correspondence as required.
- Scheduling and Coordination:
- Manage appointment scheduling and meeting room bookings.
- Coordinate with various departments to ensure smooth operations.
- Administrative Tasks:
- Maintain and update contact lists, office supplies, and other records.
- Assist with data entry, filing, and other administrative duties.
- Customer Service:
- Address and resolve client or visitor complaints and concerns with professionalism.
- Ensure a high level of customer satisfaction and service.
- Office Maintenance:
- Ensure the reception area and common spaces are clean, organized, and presentable.
- Coordinate with facilities management for any maintenance issues.
- Support to Other Departments:
- Provide administrative support to various departments as needed.
- Assist with special projects and tasks as assigned.
Qualifications:
- Education: High school diploma or equivalent; additional qualifications or certifications in office administration are a plus.
- Skills:
